About the role

As our Reception & Office Support youll thrive in a dynamic international environment where no two days are the same. Youll manage daily operations support meetings and events and keep everything running smoothlyfrom greeting guests to coordinating room setups and handling admin tasks. If you enjoy multitasking staying organized and being the go-to person for all things office-related this role is for you.

Your responsibilities

  • Stay updated on reception calendar and daily meetings; prepare visitor registrations
  • Greet clients professionally knowing their names/companies and assist with any tasks
  • Offer refreshments and set up meeting rooms to standard for every visit
  • Maintain meeting rooms in top condition between meetings
  • Assist with deliveries and keep line manager informed
  • Handle emails and calls organizing and responding as needed
  • Coordinate with employees and departments on admin tasks and updates
  • Distribute daily fruit monitor kitchen stock and manage weekly orders

Your profile

  • 25 years experience in a receptionist or similar role ideally in an international environment with team coordination responsibilities.
  • Fluent in English and German (spoken and written); additional languages are a plus.
  • Confident using Microsoft Office daily especially for reception and facility tasks.
  • Strong organizational skills with the ability to multitask prioritize and stay on top of daily operations.
  • Comfortable handling last-minute changes and unexpected requests under pressure.
  • Proactive and motivated to support employees and liaise with suppliers.
  • Detail-oriented with a high standard for maintaining reception and meeting areas.
  • Reliable with recurring tasks like mail handling room setups and supply orders.
  • Able to lead and support the reception team ensuring smooth day-to-day operations.
  • Open to feedback eager to learn and capable of working independently in the companys best interest.
