JOB DESCRIPTION
The secretary in this position will provide direct secretarial/clerical support to the Teaching and Learning Department. The secretary will also provide secretarial/clerical support to the Assistant Superintendent of Teaching and Learning. Other job-related duties will be performed as assigned.

CONDITIONS OF EMPLOYMENT
- High school diploma or equivalent.
- Must present transcripts of highest level of education within thirty (30) days of hire.

- Must pass a basic skills test.
- Completion of Safe Schools Web Based Training within thirty (30) days of hire and yearly thereafter.

REQUIRED QUALIFICATIONS

- Evidence of proficiency in bookkeeping procedures (which includes setting up and managing/tracking grants purchasing/requisitioning supplies and materials).
- Evidence of accuracy speed and proficiency in the use of Microsoft Office and Google Suite.
- Evidence of ability to proficiently use copy machines telephones scanner and other office equipment.
- Evidence of proficiency in office procedures such as setting up and maintaining files both hard copies and in a computer system.
- Evidence of ability in using computer programs to create flyers brochures charts etc. for workshops/conferences board reports.

- Evidence of ability to communicate positively and effectively with teachers administrators parents and coworkers by telephone well as in person to provide customer focused information and direction.

ESSENTIAL DUTIES AND RESPONSIBILITIES
- Provide secretarial/clerical support to the Assistant Superintendent of Teaching and Learning.
- Greet and direct outside visitors and/or district personnel in a warm and positive manner.
- Answer phone calls/direct calls for the Teaching and Learning Department.
- Type reports input data entry track grants and maintain files which include both monthly and end-of-year reports for applicable grants.
- Provide support to the District School Improvement Planning process (update plan incorporate building assessment data as required provide technical assistance to buildings as utilize the SIP template) for the beginning of the process up to school board approval requirements.
- Oversee the placement of practicum and student teachers.
- Provide support for the Instructional Material Commitee Meetings and Reviews including minutes at all meetings.
- Provide support in purchasing curriculum materials (math manipulatives new school materials new classroom materials annual consumables and renewals etc.) plus any supplemental district curriculum adoption orders.
- Prepare support documentation of materials for annual OSPI reports and state and federal grants.
- Set up and maintain systems for the different areas of responsibility (i.e. PD Enroller clock hours Key Performance Indicator Reports Instructional Materails Adoptions).
- Prepare travel reservations which includes registrations hotel and transportation.
- Arrange conferences and workshops which includes booking rooms catering registrations and processing credit/clock hours receipts and bank deposits.
- Set up and maintain Laserfiche records.
- Compose letters/memos/reports independently and with minimal instruction.
- Update and maintain Teaching and Learning infomation on .
- Provide support for public records requests and records retention for Teaching and Learning.
- Be available outside of regular hours upon request for meetings.
- Perform related duties as assigned by supervisor.
- Perform all duties of the position within the scope of Kennewick School District policies and procedures including regular attendance and punctuality.
GENERAL REQUIREMENTS
- Language Skills: Ability to read analyze and interpret business periodicals professional journals or technical manuals and procedures. Ability to write reports business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups or individuals representing managers customers and the general public.
- Mathematical Skills: Ability to add subtract multiply and divide whole numbers fractions and decimal numbers. Ability to calculate percentages discounts proportions area circumference and volume.
- Reasoning Ability: Ability to define problems collect data establish facts and draw conclusions. Ability to interpret a variety of technical instructions in diagram form. Ability to interpret variety of instructions furnished in written oral diagram or schedule form.
