Unity Communications is looking for a proactive and detail-oriented Administrative Assistant to support a U.S.-based construction client in scheduling and field operations. This position plays a key role in coordinating subcontractors tracking daily progress and ensuring smooth communication between field teams and management.
Support the lead scheduler in organizing daily work orders and last-minute scheduling changes.
Send daily reminders to subcontractors with their first job of the day.
Follow up 23 hours after job start to confirm progress and update internal WhatsApp groups.
Collect and organize photos of completed jobs for payment processing.
Maintain an organized tracking system across multiple properties and projects.
Assist with client updates and status reports.
Ensure clear communication between subcontractors project managers and the internal team.
Escalate any issues delays or urgent matters as needed.
Take occasional client calls and relay messages to the admin team or project managers.
Reside in Mexico with reliable internet and cell phone access.
Strong organizational and time management skills.
Proven experience in scheduling administrative support or customer service (construction industry experience is a plus).
Bilingual: fluent in Spanish and able to communicate professionally in English.
Proficiency with WhatsApp Google Sheets/Docs and remote communication tools (Zoom Teams).
Availability to work Monday to Friday 8 AM 5 PM PST.
Proactive responsible and able to work independently while keeping the team updated.
Previous remote experience with U.S.-based teams.
Familiarity with basic construction terminology.
Comfortable communicating with subcontractors and field staff.
Full Time
