Job Description

PRIMARY PURPOSE:

Process payroll according to Board of Trustees approved pay schedules and maintain position control system for district personnel in accordance with state and local policy; support and compliment district staff to provide equitable learning opportunities for all students.

QUALIFICATIONS:

Education/Certification:

High School Diploma or equivalent required

Special Knowledge/Skills:

Ability to use software to develop spreadsheets databases and word processing

Ability to perform basic math

Ability to understand and follow detailed written or verbal instructions

Ability to perform a variety of tasks often changing assignments on short notice with little or no direction

Excellent organizational skills

Proficient in keyboarding 10-key numerical data entry and file maintenance

Effective communication and interpersonal skills

Experience:

Three (3) years of data entry clerical and database maintenance experience required

Workdays: 226

Clerical/Technical Pay Structure: Pay Grade7

Pay Date: Monthly

Hourly Pay Range:

Minimum: $21.75

Midpoint: $26.05

Maximum: $30.35

Note:Starting pay for a new hire in a pay range plan will be determined individually based on each persons job-related experience and salaries paid to peer employees in the same position with similar experience.

MAJOR RESPONSIBILITIES AND DUTIES/ESSENTIAL FUNCTIONS:

  1. Maintain the district position control data system in an accurate and efficient manner.
  2. Monitor staffing levels on an ongoing basis.
  3. Receive and process all personnel requisitions including reconciling vacancies with approved staff allocations verifying accuracy of information and adding new positions as directed. Identify and resolve inconsistencies.
  4. Enter update and maintain accurate position data to include assignments reassignments salary changes and separations.
  5. Prepare and distribute or post job vacancies.
  6. Compile maintain and file all reports records and other documents as required.
  7. Receive and process new hire employee record data to employee record system.
  8. Input employee record position changes and processes employee terminations and reinstatements.
  9. Process (receive enter into systems send letter of separation received send payoff to payroll) and track all professional separations and vacancies.
  10. Salary assignment salary adjustments and payroll processing for new and current employees.
  11. Maintain records of assigned stipends enter stipends into System and submit stipends for payment.
  12. Process all actions in a timely manner to meet payroll deadlines.
  13. Utilize internal reports for funding verification purposes and help funding directors. Provide funding support to campus and department personnel.
  14. Conduct periodic roster reviews and compare with schedules.
  15. Generate and prepare data transfer files into an Excel document to facilitate the merging of contracts/reasonable assurance letters evaluations and salary components for all District employees.
  16. Assist with the preparation and submission of professional/paraprofessional personnel recommendations resignation and/or termination of employment.
  17. Prepare Contract Renewal/Reasonable Assurance report and verify that all information is accurate.
  18. Send and receive all professional/paraprofessional contracts and letter of assurances to employees in a timely manner.
  19. Send and receive all professional/paraprofessional evaluations.
  20. Oversee the implementation of all HR software and provide technical assistance within the department and district users.
  21. Communicate with Department of Technology regarding programs and departmental needs.
  22. Cooperate with PEIMS department for all new hire reports and confirm all personal information is correct for SBEC purposes.
  23. Process professional/paraprofessional Employment verification letters.
  24. Follow McAllen ISD customer service standards.
  25. Perform other duties as assigned by immediate supervisor (primary evaluator).
