Job Description
The Automotive Service Dispatcher manages the flow of vehicles through the repair process ensuring efficiency and customer satisfaction. The Dispatcher schedules work prioritizes repairs and communicates with technicians and customers. Key responsibilities include dispatching service requests managing customer inquiries and coordinating with technicians to ensure timely and accurate repairs.
Key Responsibilities
- Scheduling and Dispatching:
- Schedule work to optimize technician productivity based on skill levels and dealership policies.
- Prioritize and manage comebacks (repeat issues) to ensure prompt attention.
- Dispatch service requests to appropriate technicians ensuring they have the necessary resources.
- Customer Communication and Service:
- Answer customer calls handle inquiries and provide updates on repair progress.
- Ensure timely and accurate communication with customers about repair estimates timelines and completion.
- Resolve customer complaints and ensures customer satisfaction.
- Record Keeping and Documentation:
- Maintain accurate records of dispatch activities including repair orders technician hours and customer interactions.
- Ensure proper documentation of repair orders including complaints causes and corrections.
- Update customer files and maintains an organized repair log.
- Collaboration and Support:
- Communicate job status with service advisors and/or customers reporting any changes in time or cost estimates.
- Coordinate with the parts department to ensure parts availability and proper handling of warranty materials.
Skills and Qualifications
- Automotive experience required.
- Knowledge of automotive repair processes and procedures.
- Strong organizational and time management skills.
- Familiarity with repair order documentation and record-keeping systems.
- Excellent communication skills both written and verbal.
- Customer service skills and ability to handle inquiries and complaints effectively.
- Ability to work in a fast-paced team-oriented environment.
