You will be updated with latest job alerts via emailThe Office of the President is a four-person team supporting the work of the President and meeting the needs of the university students staff and the communities served. The office helps foster cooperation and teamwork with other administrative staff.
Reporting to the Special Assistant to the President the Assistant to the Office of the President primarily performs administrative functions for the office.
The position has frequent contact with members of the Board of Trustees senior administrators and faculty alumni students parents and others and helps safeguard the confidentiality of University administration by exercising discretion and exhibiting strong judgment diplomacy and tact in communicating information to the various publics served by the University.
Responsibilities include:
Ensure the President and Chief of Staff are aware of their busy daily calendars of appointments and stay on schedule during the day.
Promote a positive image of the University by greeting and receiving visitors to the Presidents office responding to inquiries from diverse University publics (e.g. students parents faculty staff legislators alumni the media and public and private officials) referring inquiries or problems to the appropriate office or person resolving problems and following up to determine the inquirers satisfaction with the response.
Support the day-to-day operation of the office process mail submit work orders organize and order supplies manage filing (hard and digital file) and respond to and resolve inquiries.
Process invoices vouchers and transfers. Run and create relevant financial reports.
Make travel arrangements for President Chief of Staff and Board of Trustees.
Communicate directly and on behalf of the President including preparing correspondence and reports for distribution or approval and signature.
Provide event coordination support for functions of the Office of the President such as the planning of special ceremonies and events including convocations groundbreakings visiting dignitaries Board of Trustee meetings and campus-wide events.
Coordinate meeting logistics such as conference room reservations catering orders preparing agendas meeting materials and assisting with the creation of presentation materials for special projects and events such as retreats luncheons/dinners and conferences.
Assist during meetings by setting up audio/visual taking and transcribing minutes distributing meeting materials and documenting action items that require follow-up.
Support the University Editor including managing calendar scheduling meetings and assisting with other projects as needed.
Assist with administrative support for the Board and the individual trustees as it relates to their function on the board.
Provide support as needed to other members of the Presidents staff.
Complete various projects and other duties and requests as assigned.
This position is located on-campus in Middletown CT
Associate degree and a minimum of five years of experience in an administrative assistant/project or program coordinator event planner or similar role OR an equivalent combination of education training and experience.
Experience with event and meeting support.
Experience managing projects.
Experience managing calendars.
Effective communication skills.
Strong organizational skills.
History of excellent attention to detail and accuracy.
History of being punctual and dependable.
Demonstrated ability to multitask prioritize and manage multiple assignments consistently.
Ability to adapt quickly to changing priorities and competing demands while meeting deadlines.
Strong people skills and the ability to build relationships with various stakeholders.
Demonstrated initiative-taking approach to problem-solving with strong decision-making capability.
Highly resourceful team player with the ability to be extremely effective independently.
Ability to manage confidential information with discretion.
Proven history of customer service and timely response.
Forward-looking thinker who actively seeks opportunities and proposes solutions.
Advanced level expertise with Microsoft Office suite.
Demonstrated commitment to work within a diverse environment and interact collegially with individuals of different backgrounds.
Previous experience as an executive assistant.
Previous experience in higher education.
Previous c-level experience.
