Operations Coordinator

Boston University Hillel

Role Overview

Boston University proudly hosts one of the largest Jewish populations at any private university worldwide with 4000 Jewish undergraduate and 2000 Jewish graduate students and you can play a key role in supporting this extraordinary community.

Were excited to welcome an Operations Coordinatorreporting to the Chief Operating Officer. Youll also work closely with theCEOExecutive Director and Campus rabbi. As an essential member of the BU Hillel team you will actively contribute to many behind-the-scenes operations that ensure our organization runs smoothly and effectively. Working under the COO youll assist with building operations and program support gaining invaluable experience in the heart of Hillels mission.

In this role you will receive robust training and personalized mentorship from leaders at BU Hillel and Hillel International providing a broad understanding of all facets of our work. Youll be a cherished part of our close-knit team of 12 professionals participating in staff meetings holiday celebrations and signature events that bring our community together. What Youll Do

Building Operations and Oversight

  • Daily oversight of building appearance and functionality
  • Liaison with Boston University Facilities for repairs and maintenance
  • Assist Chief Operating Officer on building security security protocols and staff training
  • Provide administrative support as needed for the Senior Leadership team

Student Employee Management

  • Recruit hire train and supervise a team of 10-12 Boston University work-study students to serve as building receptionists.
  • Maintain working relationships with BU Work Study representatives and adherence to work study arrangements

Room Rental Operations

  • Prepare contract invoices and diagrams for BU Departments and outside groups
  • Coordinate setups with facilities
  • Assist with marketing of space by giving tours and answering inquiries.

Information Technology

  • First point of contact for any tech issues among staff
  • Manage inventory of computers and accessories

What Youll Bring to the Job

  • You are a systematic creative problem solver with great attention to detail and excellent interpersonal and communications skills.
  • You are a self-starter who also works well as part of a team. You are cool under pressure enjoy people of all ages (especially college students) and enjoy helping an organization advance.
  • No task that advances the organization is too small or too large to capture your attention and initiative.
  • Bachelors degree 1-2 years professional experience or strong collegiate internships/fellowships experience
