Salary Range: Php 20000 - 23000
Responsibilities:
Administrative and Clerical Support
- Perform routine office tasks such as filing photocopying scanning data encoding and routing of documents.
- Maintain physical and digital filing systems to ensure ease of access and up-to-date recordkeeping.
Schedule and Meeting Coordination
- Assist the Administrative Officer in scheduling meetings appointments and departmental activities.
- Coordinate meeting logistics including room bookings materials preparation and refreshments when applicable.
Communication and Correspondence
- Respond to incoming phone calls emails and physical correspondence in a timely professional manner.
- Draft proofread and distribute basic reports memos letters and meeting minutes.
Visitor and Vendor Management
- Welcome and direct office visitors clients and vendors courteously and efficiently.
- Coordinate visitor access and ensure proper communication with relevant staff.
Inventory and Supplies Management
- Monitor and report stock levels of office supplies and equipment.
- Assist in ordering receiving and organizing office materials to support daily operations.
Documentation and Records Handling
- Ensure all documents are handled with a high level of confidentiality.
- Maintain compliance with filing and documentation policies.
Event and Logistics Assistance
- Support logistical planning for internal meetings workshops and office events.
- Coordinate with external vendors or service providers when needed.
Other Duties
- Perform additional tasks as directed by the Administrative Officer or relevant supervisor.
Qualifications:
- Experience in a similar administrative role is highly preferred.
- Background in handling and recording financial transactions is an advantage.
- Proficiency in Microsoft Office Suite (Word Excel Outlook) and familiarity with basic office equipment.
- Familiarity with Google Workspace (Docs Sheets) is a plus.
- Excellent organizational interpersonal and communication skills.
- Ability to handle confidential information with integrity and discretion.
- Can work on site in Mandaluyong.
