JOB SUMMARY: The Administrative and Special Initiatives Assistants main responsibility is to provide high-level support to the Chief Executive Officer (CEO) and Chief of Staff (COS) (80%) for the Boys & Girls Club of the Northern Plains as well the other Senior Leadership staff (20%) as needed. This involves managing schedules coordinating meetings and appointments arranging travel and handling various administrative duties. This position is responsible for conducting research creating reports and maintaining confidentiality in handling sensitive this role you must possess exceptional organizational skills a keen eye for detail and the ability to work independently.
JOB DUTIES AND RESPONSIBILITIES:
- Work directly with the CEO and Chief of Staff to support all aspects of the daily work routine.
- Keep the CEO and Chief of Staff advised of time-sensitive and priority issues ensuring appropriate follow-up.
- Maintain the CEOs calendar including scheduling meetings appointments speaking engagements and travel arrangements. Exercise discretion in committing time and evaluating needs.
- Assist the CEO in preparing for board meetings counting quorums and organizing meetings including the Annual Meeting gathering documents and attending to the logistics.
- Maintain confidential and sensitive information.
- Responsible for managing tracking updating and reporting all board documents and metrics to the CEO.
- Prepare reconcile and submit expense reports.
- Draft review and send communications on behalf of company executive(s).
- Answer and respond to phone calls and communicate messages and information to the CEO.
- Prioritize emails and respond when necessary.
- Assist the Senior Leadership team as needed.
- Maintain various records and documents for CEO and Senior Leadership.
- Assist with special initiatives of the organization under the direction of the Chief of Staff.
- Maintain board minutes policies notes and or documentation.
- Respond to day-to-day inquiries from the Seniors Leadership team.
- Other additional and/or alternative duties as assigned from time to time including supporting other departments or executives as needed.
- Typical schedule is M-F 8am-5pm with periodic evening work required including traveling to meetings in various South Dakota communities.
EMPLOYMENT QUALIFICATIONS:
- Bachelors degree preferred
- Three to five years prior experience in supporting a senior executive or team
- Sound judgment with the ability to prioritize
- Excellent computer skills including the Microsoft Office Suite (Outlook Word PowerPoint and Excel)
- Exceptional writing editing and proofreading skills
- Excellent organization and time-management skills
- Ability to pay attention to detail
- Comfortable interacting with high-level executives
- Thrives in a fast-paced environment
PHYSICAL REQUIREMENTS:
- Must be of the mental and physical capacity to observe interact and communicate with youth staff volunteers parents etc. at the Club to ensure the safety of the space and others provide guidance and reflection per the Club priority outcomes and goals
- Ability to stand/sit for long periods throughout a shift
- Ability to operate various types of general office equipment including PC telephone copier etc.
