The Centralized Sales Coordinator will remotely manage all group and function room bookings from inquiry to post-stay follow-up along with thorough sales communication with the on-property teams related to such inquiries for an assigned portfolio of hotels. Other miscellaneous tasks may be assigned by the VP of Sales including but not limited to following up on prospecting for new business via phone and email and acquiring other hotels in addition to the assigned portfolio when necessary. Given that the Centralized Sales Coordinator is a liaison between Naples Hotel Group and its clients excellent writing skills concise verbal communication and listening skills are necessary. This role is located on-site based in ourOldsmar/Tampa Corporate Office.

Essential Duties and Responsibilities:
- Responsible for taking booking inquiry information via phone/email/RFP sites qualifying the business and preparing paperwork including business evaluations proposals and contracts.
- Responsible for creating Group Blocks within the property PMS System & the property Revenue Management System
- Responsible for managing group blocks including reservation requests rooming list entry group wash and other applicable group procedures required by Naples Hotel Group and the property-specific Brand.
- Assist customers with meeting planning from inquiry to execution.
- Update & maintain sales database Delphi. FDC.
- Record account activity create and manage sleeping room and event room bookings call reports traces and Group Rooms Control Log by the due date in .
- Achieve or exceed weekly monthly & quarterly sales activity goals with Delphi.
- Organize file and retrieve documents in appropriate files to maintain essential records used in the departments operation.
- Update Weekly Sales Report Business Plan Group& Special Event Calendar weekly/monthly/quarterly by applicable due dates
- Participate in weekly meetings with hotel management to communicate upcoming events and group arrivals. Coordinate cross-departmental communications for daily arrivals through oral and written instruction. Other meetings may be assigned by the General Managers and/or VP of Sales.
- Ensure the prompt servicing of groups & accounts and adhere to NHGs four business hour response time for all inquiries.
- Periodically participate in sales blitz within or outside the assigned portfolio of hotels when assigned.
- Required to complete training assigned/required by Naples Hotel Group and property-specific Brand.
- Uses various computer word processing and other software packages to enter data and produce contracts correspondence forms memoranda and other documents.
- Guest Satisfaction is of the highest priority! This associate must follow all guidelines and training set forth by management and the hotel-specific brand.
- Perform other duties as required or assigned by the VP of Sales or otherNHG Principles.
Education and/or Work Experience Requirements:
Standard Qualifications:
- Previous hotel experience required.
- Previous experience with PEP FOSSE Opera or Hotel Key preferred.
- High School Diploma or equivalent hotel experience
- Read write and speak English fluently.

Physical Requirements

Other Requirements:
- Flexible full-time work schedule occasionally surpassing 40 hours based on business needs.
- Regular attendance in conformance with the standards which may be established by Naples Hotel Group from time to time is essential to the successful performance of this position. Employees with irregular attendance will be subject to disciplinary action up to and including termination of employment.
