Facilities Assistant

The Facilities Assistant must be a team player and work with other members of the team to meet all key performance indicators as set out in the management contract.

Facilities Operations

  • Assist in the implementation a comprehensive energy management program for your site
  • Seek ways to constantly reduce costs and improve operational standards
  • Implement comply with and audit all internal management systems for quality assurance
  • Assist the Management Team with the coordination of Churn and other relocations activities as required
  • Access card management
  • Meeting Room Management & Coordination (Condeco as booking system)
  • Printer and multi-function devices management
  • Oversee receptionist and mailers work

PR Application /Payment

  • Raise PR in procurement system to get final approval according to procurement policy
  • Once get PO send it to requestor
  • Update PR tracker by weekly
  • Summary payment request to submit to line Manger approval timely
  • Raise PR as required by procurement policy
  • Be responsible for non-PO payment request as per client policy and JLL process
  • Keep updated record on payment/PO into payment tracking form

Risk Management

  • Assist in the implementation and management of a property risk management program
  • Follow established escalation procedures and incident reporting procedures

Customer Service / Client Relationships:

  • Provide superior customer service
  • Ensure feedback from client sessions is recorded and actioned to the satisfaction of the end user.
  • Pro-actively manage clients expectations ensuring that the service levels are maintained.
  • required Key Performance Indicators

Reporting:

  • Assist in the budgeting process as required
  • Provide input as required into the Monthly Report to Client Contracting Entity
  • Active involvement in the monitoring and achieving the Training:
  • Actively participate in all planned training activities

Leadership / Staff Management:

  • Actively support an environment that supports teamwork co-operation & performance excellence within the onsite team
