Job Description

Job Title: Specialist Athletics and Activities

Department: Athletics/Activities

Pay Grade: O230

FLSA Status: Non-Exempt

Reports to: Director VI Athletics & Activities

GENERAL PURPOSE

Responsible for providing support to department undertakings with specific responsibilities related to the coordination of district athletics and activities programs by providing assistance to contest scheduling and management purchases coach and sponsor eligibility as well as processing recording updating and reconciling fiscal information in compliance with established policies and regulatory guidelines.

ESSENTIAL JOB FUNCTIONS

  • Coordinates the purchasing of equipment uniforms and materials to support the operation and improvement of the districts athletics and activities programs.
  • Frequent interaction with and response to families seeking information regarding their students participation in athletics and activities programs.
  • Consistently communicates with coaches and athletic directors in order to maintain coaching eligibility as defined by MSHSAA bylaws.
  • Communicates with district personnel to ensure facilities are maintained for athletic practices and competitions.
  • Assists in the coordination of the Pink and White Lady Classic Bass Pro Tournament of Champions as well as numerous other tournaments and events at the middle school and high school level.
  • Collaborates and communicates with coaches sponsors site and districtadministration and athletic directors in order to provide the best opportunities andexperiences for students in activities and athletics.
  • Coordinates travel approval transportation and lodging for athletics andactivities competitions.
  • Compiles an assortment of competition information related to athletics andactivities contests and coordinates data entry in a variety of sources to ensure accurate information is gathered and communicated to appropriate stakeholders.
  • Maintains accounts and budgets for the districts athletics and activities programs.
  • Maintains a wide variety of financial information files and records ensuring theavailability of documentation and compliance with established policies andregulatory guidelines.
  • Monitors account balances and related financial activity policies andprocedures implementation etc. ensuring accurate allocations relatedrevenues generated expenses fall within budget limits and/or adherence tofiscal practices.
  • Prepares a wide variety of written materials and electronic financial information documenting activities providing reference conveying information and complying with established financial legal and/or administrative requirements.
  • Provides orientation and support to other departmental personnel regarding procedures and program requirements ensuring efficient processing in compliance within district policy and established regulatory guidelines.
  • Researches discrepancies of financial information and/or documentation ensuring accuracy and adhering to established procedures prior to processing.
  • Responds to inquiries from a wide variety of sources facilitating communication and/or providing guidance among several parties; providing information and/or referral for addressing inquiry.
  • Perform other related duties as required/assigned.

QUALIFICATIONS AND REQUIREMENTS

Education and Experience

  • Bachelors Degree from an accredited college or university preferred.
  • Minimum of two (2) years of related experience with increasing levels ofresponsibility is required.

Certificates Licenses and Other Special Requirements

  • Must pass a criminal background clearance the results of which are satisfactory to the District required.

Knowledge Skills and Abilities

  • Knowledge of algebra and/or geometry; read a variety of manuals write documentsfollowing prescribed formats and/or present information to others; and solve practicalproblems.
  • Knowledge based competencies required to satisfactorily perform the functions of thejob include accounting/bookkeeping principles and budget processing.
  • Skill to perform multiple technical tasks with a need to routinely upgrade skills in orderto meet changing job conditions.
  • Skill based competencies required to perform the functions of the job includingapplying district state and federal policies and regulations; operating standard officeequipment including pertinent software applications; performing accountingprocedures; and preparing and maintaining accurate records.
  • Ability to read technical information compose a variety of documents and/or facilitategroup discussions.
  • Ability to analyze situations to define issues draw conclusions and create action plans.
  • Ability to schedule a number of activities meetings and/or events; gather collateand/or classify data; and use job-related equipment.
  • Ability to communicate effectively and collaborate with internal and externalstakeholders to accomplish District objectives.
  • Ability to work with a significant diversity of individuals and/or groups; work with dataof widely varied types and/or purposes; and utilize job-related equipment.
  • Ability to apply critical thinking/problem solving to improve work processes.
  • Ability to work as part of a team; analyze situations and make accurate decisions; workon multiple projects; and deal with frequent interruptions and changing work priorities.

Working Conditions and Physical Requirements

  • Work environment is primarily inside where the noise and temperature levels are moderate.
  • The work is sedentary work that requires exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force to move objects.
  • Must possess the physical ability to perceive the nature of sounds make rationaldecisions through sound logic and deductive processes express or exchange ideas bythe spoken word substantial movements (motions) with the hands wrists and/orfingers and discern letters or numbers at a given distance.
  • Additionally the following physical abilities are required: balancing climbing crawlingcrouching feeling grasping handling hearing kneeling manual dexterity mentalacuity reaching repetitive motion speaking standing stooping talking visual acuityand walking.
