Job Description

SECRETARY (C)

Galt Collegiate Institute

Educational Services

Applicants will be considered in the following order:

1) Qualified permanent ESS/OSSTF Bargaining Unit employees.

2) Qualified probationary temporary and Temporary Hourly Rated (THR) ESS/OSSTF employees.

3) Qualified external applicants (includes employees from other Bargaining Units)

Reporting to the Principal through the Office Supervisor the successful candidate will be responsible for supporting the activities of the main office (including but not limited to reception and attendance duties).
The successful applicant for this Educational Support Staff position Level C will beworking 32 hours per week 10 months per year effective as soon as possible.

Hours of Work: TBD

Responsibilities:
    • Respond to telephone calls and perform reception duties;
    • Assist with the daily routine of the main office including computer data entry (i.e. attendance) and report generating;
    • Assist with the maintenance of attendance records for all students;
    • Assist with the automated phone system and monitoring of voicemail;
    • Respond to the concerns of staff student parents and the public;
    • Interact positively with students staff and community using all modes of communication;
    • Support the vision philosophy and procedures of the school; and
    • Other duties as assigned.
Qualifications:
    • Ability to work collaboratively as member of the administrative team of the school;
    • A Secondary School Graduation Diploma is required;
    • Experience using Microsoft Office products including Word and Excel in a Windows environment is required;
    • Experience in both using the Aspen Student Information System and applying this knowledge to record keeping and maintaining data integrity is required;
    • Experience and knowledge of Web Attendance is required;
    • Knowledge and experience of G-Suite is required;
    • Excellent interpersonal skills with students teachers and the public;
    • Excellent organizational and time management skills;
    • Ability to complete assigned duties with minimal supervision;
    • Ability to communicate effectively in both oral and written form;
    • Ability to work collaboratively as a member of the administrative team of the school; and
    • Previous work experience in a secondary school office would be an asset.
