Key Responsibilities
Financial Management & Reporting
Oversee day-to-day accounting operations including AP AR credit card reconciliation and bank deposits.
Manage credit card reconciliation process and ensure timely submission of receipts.
Serve as primary liaison with external accounting partner for bookkeeping financial statements and cash flow projections.
Maintain fixed asset schedules depreciation schedules and pledge tracking.
Reconcile all bank and credit card accounts monthly in QuickBooks Online.
Coordinate tax filings and compliance in partnership with HR and payroll.
Lead audit preparation annual 990 filing and serve as primary contact with the audit firm.
Process payments through manage vendor onboarding W-9 collection and 1099 issuance.
Maintain vendor relationships review statements ensure timely payments and resolve inquiries.
Reconcile donations between accounting and donor management systems.
Track pledge collections and follow up on overdue payments.
Prepare quarterly budget-to-actual reports and facilitate variance review meetings.
Assist in annual budget development forecasting and updates to financial policies and procedures.
Budget & Grant Management
Support grant administration by preparing reports and reimbursement requests.
Maintain staff allocations in the budgeting system for accurate forecasting.
Generate grant-specific budget versus actual reports.
Operations Management
Oversee vendor relationships for IT telecom office equipment and other operational services.
Manage supply inventory equipment maintenance and office functionality.
Coordinate mail handling deliveries and general administrative needs.
Provide occasional reception coverage and hospitality support.
Qualifications
Bachelor s degree in Accounting Finance Business Administration or related field (Accounting coursework required).
3 5 years of experience in bookkeeping or financial management within a nonprofit or small business.
Strong knowledge of nonprofit accounting budgeting and reporting.
Required: QuickBooks Online and proficiency.
Preferred: Salesforce experience.
Experience supporting nonprofit audit processes highly preferred.
Advanced skills in Microsoft Excel and Google Sheets; ability to adapt to new software.
Excellent organizational analytical and problem-solving skills with high attention to detail.
Strong written and verbal communication skills with the ability to present financial information clearly.
Proven ability to manage multiple priorities meet deadlines and maintain confidentiality.
Strong interpersonal skills for vendor donor and cross-team communication.
Self-motivated with the ability to work independently and collaboratively.
Education
Bachelor s degree in Accounting, Finance, Business Administration, or related field (Accounting coursework required).
