Role description:

Arcadis is seeking a highly skilled and motivated Executive Assistantto support one of the most iconic and consequential infrastructure initiatives in the United States the Gateway Hudson Tunnel Project (HTP).

We are working in partnership with Parsons and Mace as part of the MPA Delivery Partner team selected by the Gateway Development Commission to deliver this transformative project. The HTP is a critical component of the broader Gateway Program one of the most ambitious and impactful transportation initiatives in the nation and is designed to strengthen mobility enhance resiliency and ensure the long-term reliability of the Northeast Corridor.

The project encompasses the construction of a new two-track rail tunnel beneath the Hudson River along with the full rehabilitation of the existing 113-year-old North River Tunnel. This vital infrastructure supports more than 200000 daily passengers via Amtrak and NJ TRANSIT and serves as a backbone for economic activity and connectivity between New York and New Jersey.

Role Accountabilities:

  • Enter department requisitions and invoices into GDCs ERP system accurately and in a timely manner.
  • Maintain and coordinate the calendars for the Deputy Chief and Director of Procurement including scheduling meetings appointments and travel.
  • Assist in the development and ongoing maintenance of procurement-related templates and internal databases in collaboration with department leadership.
  • Facilitate GDCs Partner Review Process and maintain accurate and confidential records of all associated documentation.
  • Collect and manage weekly staff work plans and maintain the staff Paid Time Off (PTO) tracker.
  • Provide technical and administrative support to procurement personnel in using and monitoring GDCs e-procurement platform.
  • Create reports presentation decks and other materials to support Procurement Department meetings initiatives and reporting requirements.
  • Attend internal meetings to take detailed notes and prepare meeting summaries. Coordinate and support procurement staff meetings and public-facing events.
  • Conduct procurement-related research and assist in ad-hoc projects as needed.
  • Support procurement contract management vendor relations and compliance teams with administrative tasks on an as-needed basis.

Required Qualifications:

  • Associates or Bachelors degree in Business Administration Public Administration or a related field preferred.
  • Minimum 3 years of executive or administrative assistant experience preferably within procurement or a government agency.

Key Skills and Abilities:

  • Excellent written and verbal communication skills.
  • Highly organized with strong attention to detail and time management.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
  • Ability to handle confidential information with integrity and discretion.
  • Demonstrated ability to work independently and collaboratively in a fast-paced environment.

Preferred Qualifications:

  • Proficiency with ERP systems (e.g. SAGE) and e-procurement platforms (e.g. Bonfire) strongly preferred.

Arcadis offers benefits for full time and part time positions. We offer nine paid holidays and 15 days PTO that accrue per salary range for this position is $65000 - $85000. Actual salaries will vary and are based on several factors such as experience education budget internal equity project and location.
