Responsibilities:
- Answer incoming calls and manage phone communications through VoIP system
- Schedule reschedule and cancel client appointments
- Follow up with appointment confirmations the day before
- Take detailed messages and ensure proper communication flow
- Drafting documents to peruse
- Manage email correspondence and client communications
- Send invoices and track remittances for billing purposes
- Coordinate and manage practitioners calendar and scheduling
- Send assessment links to clients as needed
- Handle client intake forms and confidentiality processes
- Organize and maintain client records and documentation
- Provide general administrative support across practice operations
- Schedule and post pre-created social media content occasionally
- Respond to social media comments by directing inquiries to phone contact
- Manage billing coordination and financial administrative tasks
- Purchase office equipment and therapy aids for clients
Requirements
- Minimum 3 years of administrative assistant experience
- Prior experience in healthcare or client-facing administrative roles preferred
- Clear English skills to make and receive calls to and from clients and other professionals including doctor surgeries insurance companies etc
- Strong phone communication skills and professional demeanor
- Experience with VoIP phone systems and online communication platforms
- Proficiency with scheduling software and calendar management
- Basic social media posting and engagement capabilities
- Excellent organizational and record-keeping skills
- Ability to handle confidential client information appropriately
- Calm warm collected and kind personality suitable for mental health environment
