Job Description

Overview

The Transaction Coordinator I II or III is responsible for handling more complex transactions troubleshooting issues and providing support to multiple departments. This position requires deeper knowledge of transaction processes and the ability to identify and implement process improvements.

Responsibilities

  • Provide hiring/on-boarding/payroll services support
  • Process hiring forms including the I-9 electronic form ACA forms and tax forms with new employees. Ensure accuracy and compliance for all transactions
  • Submit timely and accurate job postings for salaried and hourly positions.
  • Set up timecards work schedules and leave for new employees.
  • Develop a good working understanding of the EPAF process and strategies to select the correct EPAF and explain EPAFs to department staff.
  • Manage data entry of EPAFS for designated departments.
  • Ensure AggieTime payroll is submitted bi-weekly by all departments.
  • Collaborate with internal teams and external partners to resolve transaction issues.
  • Assist in training junior team members on transaction procedures.
  • Identify inefficiencies and recommend procedural improvements to streamline operations and reduce errors.
  • Serve as a subject matter expert for transaction-related inquiries and troubleshooting.
  • Provide excellent customer service for all departments that you support
  • Other duties as assigned.

Qualifications

Minimum Qualifications:

  • Transaction Coordinator I:
    • High school diploma or equivalent learning required.
    • Experience in data entry or transaction processing roles preferably in a finance accounting or shared services environment.
  • Transaction Coordinator II:
    • 3 years of experience in data entry administration transaction processing roles preferably in a finance accounting or shared services environment or equivalent combination of education/experience.

  • Transaction Coordinator III:
    • 5 years of experience in data entry administration or transaction processing roles preferably in a finance accounting or shared services environment or equivalent combination of education/experience.

  • For all levels:
    • Competent in the use of computer programs including Excel Office and other applications. Proven ability to create formulas and spreadsheets in Excel.
    • Strong interpersonal skills along with a demonstrated ability to work collaboratively with a diverse group of people. Able to develop professional documents and accurate reports.
    • Must be team-oriented and foster a team environment within the Transaction Center and with Directors and the departments that the Transaction Center interacts with.
    • Experienced in managing multiple responsibilities and deadlines. Able to organize work responsibilities and self-assess personal performance against target objectives.
    • Proactive in resolving issues setting up processes and providing high-level customer service.
    • Ability to take initiative maintain confidentiality and work without close supervision.
    • Meet background check requirements.

Preferred Qualifications

  • Working knowledge of Banner Finance and/or Human Resources modules
  • Knowledge of USU financial policies.
  • Knowledge of USU human resource/payroll procedures.

Knowledge Skills and Abilities (KSAs):

  • In-depth understanding of transaction processing systems and workflow optimization.
  • Strong knowledge of relevant compliance and regulatory standards.
  • Familiarity with financial or operational risk assessment in transaction processing.
  • Advanced proficiency in Microsoft Excel and transaction management software.
  • Strong problem-solving and analytical skills to resolve transaction discrepancies.
  • Ability to multitask and complete a high volume of transactions.
  • Ability to train and guide junior team members.
  • Ability to work efficiently under pressure and meet deadlines.
  • Ability to identify trends and inefficiencies and recommend improvements.
  • Ability to collaborate effectively with internal and external stakeholders.
