SUMMARY: The executive assistant provides high-level administrative support to an Executive Management Team member by conducting research preparing statistical reports handling information requests and performing clerical functions such as preparing correspondence receiving visitors arranging conference calls event planning presentation preparation and scheduling meetings for executives.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Organize and maintain calendars schedule appointments and coordinate meetings to optimize the executives time.
Prepare reports memos letters presentations and other documents using relevant computer software.
Prioritize and respond to emails and phone calls acting as a liaison between the executive and internal/external stakeholders.
Organize and take notes during meetings ensuring follow-up on action items and maintaining records of discussions and decisions.
Act as a gatekeeper by greeting visitors and determining whether they should be given access to specific individuals.
Read and analyze incoming correspondence memos submissions and reports to determine their significance and plan their distribution while maintaining confidentiality at all times.
Work collaboratively across all teams.
Proactively manage projects and events with a high degree of planning follow up and execution.
Be a collaborative member of teams and lead teams when necessary and appropriate.
Perform general office duties such as ordering supplies and maintaining records management database systems.
Maintain corporate documents records and reports in an organized and efficient manner.
Coordinating travel and logistics for business trips including booking travel preparing itineraries and supporting executives in completing expense reports
Assisting with special projects by coordinating resources and tracking progress
Other tasks as assigned.

QUALIFICATIONS

EDUCATION AND/OR EXPERIENCE
Five (5) years of administrative experience in a business setting and a degree from a two-year college; or seven (7) years of administrative experience in a business setting.
Preferred a Bachelors degree and two to three years of experience in administrative and/or program support in grant making nonprofit or related institution.
Demonstrated commitment to achieving racial and health equity.
CERTIFICATES LICENSES REGULATIONS
May have to drive for meetings as such must have reliable means of transportation. If using a personal vehicle must have a current valid drivers license and be insurable under the foundations insurance policy.
LANGUAGE SKILLS
Excellent written and oral communication skills.
COMPUTER SKILLS
Must be proficient in Windows Microsoft Office Outlook PowerPoint Excel project management software database software Adobe Acrobat and internet use.
OTHER SKILLS AND ABILITIES
Requires a high level of interpersonal skills to handle sensitive and confidential situations and documentation.
Ability to respond to common inquiries from staff board members partners applicants grantees contractors and members of the community in a timely manner.
Must have analytical problem-solving abilities.
Must be detail oriented.
Must have excellent time management ability to plan ahead and organizational skills.
Must have knowledge of office administration procedures and the use of and operation of standard office equipment.
Must be able to work independently take direction and exercise sound judgment within a team in a small office setting on special nonrecurring and ongoing projects.
Ability to work in a fast-paced environment with flexibility.
Ability to work with individuals from diverse communities and life experience.

While performing the duties of this job the employee is frequently required to sit use hands to finger handle and reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds. This position may occasionally require overnight travel. This position may require occasional overtime work.
BENEFITS AND COMPENSATION
Sierra Health Foundation offers a competitive salary and benefits package. The hiring range for this position is $70000 -$75000 annually. As part of the Foundations commitment to compensation equality and transparency our practice is not to consider salary counters above this hiring range.
