Job Summary:The Administrative Assistant I provides administrative support for the operations of unit. Performs routine and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls emails and/or guests. Maintains files and enters data. Operates standard office equipment such as personal computers copiers fax machines etc.
Additional Department Summary:Supports University Press in administrative tasks such as customer (authors and customers) service record keeping scheduling filing and producing standardized reports. Assists with manuscript acquisition assessments contracting and correspondence. Assists with operational needs such as report creation filing interpretation and distribution as well as the identification and completion of time-sensitive action items.
Required Minimum Qualifications:High school diploma or GED or higher.
Skills and Knowledge:Familiarity with MS Office (Outlook Word and Excel). Superior written and verbal skills. Excellent editing skills. Excellent organizational skills. Meticulous follow-up. Ability to manage multiple time-sensitive projects successfully. Professional demeanor with the faculty and staff at UA and other institutions of higher learner. Ability to manipulate (filter sort look up) data in Excel. Confidence answering the phone (not just listening to voicemail messages) and interacting with authors customers and strangers in spontaneous and unplanned interactions. Understanding of the correct formatting of business correspondence mail.
Preferred Qualifications:Some exposure or experience in book publishing or periodicals. Experience drafting editing and correcting text in a fast-paced environment. Some experience in live interactions with students clients or customers.
