At Vyntra were looking for a proactive energetic and highly organized professional to join our team as a Workplace & HR Coordinator.
This hybrid role combines office operations event coordination HR administration and practical employee support. Its a key position that keeps our Mechelen office running smoothly and helps create a positive experience for our people.
Youll be the go-to person on site supporting colleagues with office logistics fleet management day-to-day operational needs and onboarding/offboarding tasks. The ideal candidate enjoys variety thrives under pressure and is confident managing expectations while keeping things running seamlessly.
This is a part-time role (20 hours per week Monday to Thursday 9:3014:30) with some flexibility required for special events such as town halls.
Key Responsibilities
Office Operations & Facilities
- Manage reception mail stock building access and keys
- Support office logistics including meetings and town hall organization
- Oversee company car fleet administration
Employee Experience & Support
- Provide practical and administrative support to the Mechelen team
- Assist colleagues with HR and office processes
- Support internal communications team engagement initiatives and office events
HR Administration
- Handle onboarding and offboarding administration (equipment access welcome activities)
- Maintain accurate employee records and HR documentation
Key Requirements
Experience & Background
- Skilled in managing multiple tasks and handling changing priorities in office administration and HR support
- Experience in a similar busy office role or another fast-paced environment such as hospitality where managing multiple stakeholders is the norm
- Comfortable working independently and taking ownership of responsibilities
Skills & Attributes
- Excellent organizational and multitasking skills
- Confident in setting boundaries and prioritizing tasks
- Strong interpersonal and communication skills
- Proficient in MS Office and HRIS tools (e.g. Personio)
Languages
- Fluency in Dutch and English is required
