Under the direction of the Engineering Superintendent or designated representative this position functions as a Construction Office Manager performing a variety of administrative andaccounting functions for a construction office unit in the area of highway project construction. The position is responsible for analysis and resolution of problems pertaining to constructioncontracts and project cost accounting; review for accuracy and completeness all assigned information; execution of policy and direction in the areas of office administration contractsprocurement of materials equipment and services as directed; construction project cost accounting; data processing; daily documentation and payment review; project final and closeout;
and other related clerical services. The position is additionally responsible for: monitoring construction project timeliness quality and compliance with established standards and contractdocuments. Maintaining required documents on all contract items including contractor pay estimates; force accounts; contractor payrolls; and individual pay items. Assisting with the work assignments of the office tech(s) as needed and directed. Coordinating and communicating with staff District interdepartmental groups and other entities as directed. Overnight travel throughout the State as needed for training and to fulfill other unit and District business.
Facilitate work unit staff partnering and project meetings to ensure meetings are scheduled appropriately proper stakeholders are included and appropriate information is discussed and disseminated as needed. Ensure appropriate accurate documentation is maintained in the construction project files. Review inspector documentation daily diaries and payments to ensure completeness timeliness and accuracy.
Examining engineering project records field notes diaries computations contract documents and other documentation to assure that methods of measurement and basis for payment are in accordance with project plans special provisions standard specifications and supplemental agreements. Assist Engineer(s) and/or Superintendent in monitoring construction budgets.
Calculate material quantities and other measurements. Review prepare and execute payment on contract documents related to line item or standard force accounts supplemental agreements and documentation for completed projects. Review verify and provide calculations test results and documentation as related to office manager processes and work assignments. Prepare administrative construction budget reports.
Review project plans specifications and special provisions for accuracy and constructability. Prepare cost estimates for supplemental agreements or otherwork items as needed. Review construction schedules and determine whether all supporting information has been obtained. Prepare review and coordinatecorrespondence with other stakeholders internal and external as directed.

Two years of technical work performing engineering and construction activities to include construction records maintenance and verification; or assisting in the inspection and administration of highway construction projects. Related higher education or bachelors degree will be considered for substitution of up to one year of experience.
Valid Arizona Drivers License - This position requires driving or the use of a vehicle as an essential function of the job and the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current valid class-appropriate drivers license complete all required training and successfully pass all necessary drivers license record checks. The license must be current unexpired and neither revoked nor suspended. Employees who drive on state business are subject to drivers license record checks must maintain acceptable driving records and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R.11).
