Enterprise Application Services (EAS) at Western Washington University is committed to the implementation management maintenance and ongoing enhancement of the universitys enterprise systems. EAS supports the institutions essential administrative information processing requirements ensuring these systems are managed efficiently and securely. The applications overseen by EAS may be delivered as SaaS solutions or hosted on-premises.

About the PositionReporting to the Director of EAS/ITS the Assistant Director of Student & Faculty Systems supervises the Student & Faculty Systems Team (SFS). This position is vital in ensuring the maintenance of essential campus applications spearheading initiatives and engaging with stakeholders to develop technical and functional solutions.

Key responsibilities include:

  • Directs staff establishes priorities reviews deliverables analyzes departmental workflow sets deadlines and develops standards.
  • Consults with users managers vendors and technicians to assess system requirements and functionality.
  • Together with other supervisors evaluates technology and campus needs and recommends improvements to stakeholders and the University.
  • Participate in campus-wide IT projects.
  • Management and Support (50%)
    • Directs the Application Support Team on system configurations based on the departments business processes. Responsible for assigning employee workloads priorities and work expectations to ensure appropriate personnel are available to support enterprise-wide applications and projects that align with the Universitys Strategic Plan Vision and Strategic Goals.     • Management duties include:
      • Directing hiring and training employees
      • Aligning resources with the PMO to ensure success for IT-related projects
      • Conduct performance review on an annual basis
      • Ensuring work assignments are accomplished with quality and on time
      • Ensure team members follow standard development and testing protocols
      • Ensure team members follow all security and privacy compliance rules
      • Engaging in efforts to increase unit cohesion and teamwork
      • Guide team members in documenting processes and system configuration
      • Actively engaging teams in cross-training activities
      • Encouraging all team members to share system knowledge through leading by example
  • Relationship Management Collaboration Guidance and Cross-Training
    • Collaborate with other ITS and EAS leadership teams to develop a strategic roadmap for modernizing technology and systems.
    • Responsible for managing and maintaining the relationships between EAS/SFS and University stakeholders/business owners to ensure the support level is meeting expectations.
    • Provides mentor support to analysts in delivering best-in-class customer service guiding and instructing them on techniques for troubleshooting complex implementations configurations support issues and service restoration.
    • Supports the analysts work in resolving complex issues that impact users teams and overall University objectives. Participate in and guide other team members performing root cause analysis to correct current problems and proactively reduce or eliminate potential future issues.
    • Provides recommendations and works with stakeholders on the design and implementation of system and service improvements.
    • Periodically assesses training needs and determines practical training needs for systems support.
  • Operational Management of SFS System Support
    • Supervises maintenance of departmental records including granting requests for system permissions by established internal control policies and regulatory guidelines.
    • Reviews and approves programming and table change requests submitted by SFS analysts before forwarding to Enterprise Application Services Analysis Programming & Integration Team.
    • Proactively communicates with University stakeholders and continuously assesses departmental needs.
    • Participates in University stakeholder meetings in-service trainings workshops and committees as necessary to convey and/or gather information required for department operations.
    • Collaborate with the PMO and other stakeholders to align resources and provide support for assigned projects

Required Qualifications
  • University degree or an equivalent combination of education and experience
  • 5 years of experience in information technology in a dynamic business or educational environment
  • Experience writing SQL queries or using SQL Developer
  • Demonstrated excellence in both written and verbal communication skills
  • Strong ability to facilitate meetings
  • Strong diagnostic and problem-solving skills
  • Fluent knowledge of Banner Student & Faculty modules
  • Ability to work independently with minimal supervision as well as in various team structures
  • Highly self-driven and self-motivated
  • Team-oriented and user-friendly
  • Demonstrated ability to effectively translate simplify and communicate (written and verbal) information to diverse stakeholders
  • Commitment to serving the needs of a diverse population and fostering an inclusive environment
  • Ability to work with sensitive/confidential information and to handle such information as required by Federal and State laws and WWU regulations/policies
Preferred Qualifications
  • Thorough knowledge of Westerns administrative operations and technical systems
  • Masters degree in computer science management information systems business or public administration
  • Experience in managing information technology in a dynamic business or educational environment
  • Experience performing business process analysis
  • Experience with project management methodologies
  • Prior experience and participation with system implementation or technology projects
  • Hands-on experience supporting administrative systems such as: ERP Student Information System Content Management system CRM.
  • Experience working in a university or higher education environment
  • Familiarity with Change Management
