  • Compensation based on skill set and experience: Hourly Rate $17.00 - $22.00
  • Bi-weekly pay

Primary responsibilities

Dual-role position responsible for driving service appointment volume and customer retention through the Business Development Center (BDC) while managing warranty administration and claim processing to ensure accurate reimbursement and compliance with Subaru warranty policies. The ideal candidate delivers exceptional customer service is detail-oriented and is experienced with dealership systems and OEM warranty procedures.

Service BDC responsibilities

  • Answer inbound service and warranty-related calls emails and web leads promptly and professionally.
  • Book confirm and reschedule service appointments to maximize shop utilization and meet dealership KPI targets.
  • Conduct outbound follow-up calls for appointment reminders value-added services(recommended maintenance recall campaigns service specials) and customer satisfaction outreach.
  • Qualify customer needs gather vehicle and contact information and create/maintain accurateCRM records.
  • Coordinate shuttle/loaner vehicle scheduling and communicate logistics to customers and service advisors.
  • Promote fixed-ops specials maintenance plans and Subaru loyalty/retention programs.
  • Track and reportBDC metrics: call answer rate appointment conversion show rate average hold/handle times and lead follow-up compliance.

Warranty administrator responsibilities

  • Prepare submit and track warranty claims to Subaru and third-party manufacturers according to OEM policies and timelines.
  • Review repair orders and parts invoices to ensure accurate labor codes part numbers authorization numbers and supporting documentation.
  • Research and resolve denied or offset claims; appeal denials with clear documentation and follow-through.
  • Reconcile warranty payments and work with accounting to ensure proper posting of reimbursements.
  • Maintain up-to-date knowledge of Subaru warranty procedures policy changes campaigns and recall processes.
  • Coordinate with service advisors technicians and parts staff to obtain required repair documentation (tech bulletins diagnostic logs photos).
  • Audit warranty-relatedRO entries periodically for accuracy and compliance.

Cross-functional / other duties

  • Serve as liaison between dealership and Subaru regional support when required.
  • Train and support service advisors andstaff on correct warranty documentation practices.
  • Maintain and organize warranty files recall follow-up lists and warranty tracking spreadsheets.
  • Assist in parts ordering coordination for warranty repairs when needed.
