TheExecutive Assistant (EA) to the CEO and CFOis a trusted high-performing partner who provides advanced executive support with a strong emphasis on communication strategic coordination and cross-functional collaboration. This role goes beyond traditional administrative tasks to include managing executive communications developing presentation materials ensuring meeting outcomes are tracked and executed and helping maintain operational alignment for the leadership team.
You will be responsible for ensuring the CEO and CFO are set up for success their time is optimized and their voices are clearly and professionally represented across the organization and to external stakeholders.
Key Responsibilities
Advanced Executive Support
Manage complex and dynamic calendars travel expenses and logistics for both CEO and CFO.
Serve as the front-line liaison handling confidential information and acting as a gatekeeper to prioritize and protect executive time.
Draft and manage high-level correspondence talking points and briefing materials.
Executive Communication & Presentation
Write and edit executive communications including emails memos updates and announcements with a high level of polish and professionalism.
Build and edit visually compelling presentations and board decks using PowerPoint or Google Slides.
Coordinate messaging and prepare content for internal and external audiences (e.g. town halls investor meetings board sessions).
Meeting Preparation & Follow-up
Prepare pre-reads agendas and summaries for key meetings.
Track and follow up on action items ensuring deliverables are completed on time.
Take accurate meeting minutes when required and help ensure clarity in next steps and ownership.
Cross-Functional Coordination
Liaise with department heads and functional teams to gather input coordinate meetings and maintain alignment on key initiatives.
Support execution of select strategic and operational projects ensuring tasks are aligned with executive priorities.
Anticipate needs and proactively resolve issues before they escalate.
Requirements & Qualifications
Education & Experience
Bachelors degree in Business Communications or related field preferred.
Minimum of5 years of experiencesupporting senior executives (C-level) ideally in a high-growth or private equitybacked environment.
Proven ability to draft professional correspondence and build high-impact presentation materials.
Skills & Attributes
Exceptional written and verbal communication skills with a strong executive presence.
Highly proficient in Microsoft Office Suite and Google Workspace (especially PowerPoint/Slides).
Strong judgment professionalism and discretion in handling sensitive information.
Detail-oriented highly organized and capable of managing multiple priorities.
Proactive problem-solver who takes initiative and thrives in fast-paced evolving environments.
Comfortable working across functions and managing up down and laterally.
Preferred Attributes
Experience in healthcare professional services or a fast-paced regulated industry.
Familiarity with board or investor-facing communication and deliverables.
Ability to work with ambiguity and bring structure to complex cross-functional efforts.
