Job Description Summary
Summary:
The Events Director for the Wake Forest University Face to Face Speaker Forum produces remarkable high-quality events for the Wake Forest community and the greater external community of the Piedmont Triad and beyond. Serves senior-level administration with the planning execution and management of the campus events for the Speaker Forum. Advises the Assistant Vice President on important matters involving the Forum and is responsible for creating the experience for world-class speakers designing and implementing processes and timelines for the Forum. Oversees external relations efforts with community and campus partners. This position requires an exceptionally high level of discretion due to exposure and access to highly confidential and sensitive information.
Job Description
Essential Functions:
- Oversees event execution for Forum strategic events to include menu planning rental orders decor invitations responses seating assignments briefings and coordination of services. Responsible for guests experience and safety. Dedicated to maintaining the highest level of professional event production.
- Collaborates with the Assistant Vice President Speaker Forum on speaker selection for the Speaker Forum through research and effective relationship management with speaker bureaus and agents. Creates the experience for the world-class keynote speakers once booked.
- Leads with a calm inspiring presence understanding and empathetic to the challenges and importance of work/life balance in the world of event management.
- Possesses the mindset of a professional event planner with innovative ideas and creative problem-solving skills; however can also set realistic expectations and be pragmatic.
- Organizes workflow; manages and tracks multiple projects meets deadlines in the midst of a fast-paced changing dynamics team-oriented environment. Have the ability to stay cool under pressure.
- Takes complex ideas messages and concepts and makes them relevant for the intended audience.
- Develops and manages event budgets from planning to post-event analysis for the Forums events.
- Collaborates with the Office of the President and Facilities for all official requests and briefing documents.
- Organizes and leads the production of the event for speaker keynotes VIP experiences Keynote Society receptions and student-led events and partners with an external production vendor ( Live Events Media Group).
- Participates in the Board of Advisors bi-annual meetings for the Speaker Forum.
- Oversees communication with sponsors community leaders corporate executives high-net worth individuals and patrons and key staff and faculty. Collects and synthesizes meaningful content to share.
- Manages relationships and the registration process for student groups (Wake Forest local institutions of higher learning and local high schools) that participate in the Forum keynote events.
- Manages the volunteer base of Wake Forest constituents to support all Speaker Forum events.
- Manages the scheduling and priorities of the speaker forum student worker(s).
- In partnership with the Assistant Vice President organizes the student-only events held before the Keynote addresses.
Required Education Knowledge Skills and Abilities:
- Bachelors degree plus 5 to 7 years of direct related experience or an equivalent combination of education and experience.
- Knowledge of event planning strategies processes and available resources.
- Excellent interpersonal communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
- Ability to communicate effectively both orally and in writing.
- Ability to prioritize multiple projects while under pressure and with demanding deadlines.
- Exceptional organizational skills a detailed manager and a resourceful problem-solver.
- Be able to work independently and with minimal supervision.
- High level of proficiency with project management techniques and the ability to follow up on all tasks until successful completion.
- Ability to work evenings and weekends and variable hours as required.
- Respect for the dignity and abilities of all people.
- Ability to understand the highly sensitive and private nature of the work and the ability to keep such information confidential.
- Accuracy and attention to detail regarding print and digital media and event coordination.

Physical Requirements and Environmental Conditions:
