Are you an organized detail-oriented and efficient communicator Do you excel at managing emails and providing exceptional customer service We are seeking a Virtual Assistant to join our team and handle incoming emails for our digital media business. As a Virtual Assistant you will play a crucial role in ensuring seamless communication with our clients and partners while upholding the highest standards of professionalism and efficiency.


Responsibilities

  • Email Management: Handle incoming emails from clients partners and potentialcollaborators regarding sponsored content opportunities. Respond promptly andprofessionally to inquiries ensuring accurate and informative replies.
  • Client Engagement: Engage with clients in a friendly and approachable mannerbuilding and maintaining strong relationships. Address any concerns or questionsthey may have and strive to exceed their expectations.
  • Content Scheduling: Collaborate with clients to schedule postings and coordinatewith our content team to ensure smooth execution of content distribution.
  • Data Management: Maintain organized records of all communications sponsoredcontent agreements and key details in a well-structured manner.
  • Follow-Up: Conduct timely follow-ups to ensure that content postings arecompleted successfully and meet the clients requirements.
  • Process Improvement: Suggest and implement improvements to the emailhandling process to streamline communications optimize internally processes andenhance client satisfaction.
  • Confidentiality: Respect the confidentiality of all sensitive information related toclients partners and the company.

Job requirements

  • Excellent Communication Skills: Proficient written and verbal communication skills in English are essential. A friendly courteous and professional tone should be maintained in all interactions.
  • Experience with HTML CSS and/or Java is preferred
  • Prior Virtual Assistant Experience: Prior experience as a virtual assistant email support or customer service role is preferred.
  • Time Management: Strong organizational skills and the ability to manage time effectively to handle multiple tasks simultaneously.
  • Tech Savvy: Proficiency in email management tools such as Gmail or Microsoft Outlook and basic knowledge of cloud-based collaboration tools.
  • Problem-Solving Skills: Ability to think critically and resolve issues independently ensuring clients needs are met promptly.
  • Reliability: Dependable and able to meet deadlines consistently.
  • Adaptability: Willingness to adapt to the companys processes and changes in the workflow.
  • Professionalism: Exhibit professionalism and maintain a positive attitude contributing to a supportive team environment.
