Associate degree in Secretarial Science or 3 to 5 years of secretarial experience.
3 years of secretarial experience.
Able to transcribe dictation and or note hand/speedwriting.

Schedule: This position offers a weekday schedule (MondayFriday no holidays or weekends) making it an excellent opportunity for someone seeking work-life balance. Schedule is Monday-Friday generally 8 am-4:30 pm; however given we support the Medical Group services and meetings with physicians we need someone to be flexible and could occasionally be in at 7 am or 7:30 am to do meeting minutes for a physician or group meeting. Other times it may be a 5 pm meeting we will need minutes to be taken.

Join a collaborative mission-driven team dedicated to delivering high-quality care to our communities. As the Administrative Assistant for our Medical Groups leadership and operations team youll play a central role in keeping our leaders physicians and practices connected and supported.
How youll contribute
An Administrative Assistant who excels in this role:
Serves as support to the Administrative Staff within CPG Administration and board(s) by performing executive functions initiating and maintaining communications and supporting actions associated; deals discretely and exercises independent judgment with sensitive information.
Serves as staff support for CPG meetings and various service line meetings as appropriate. Initiates and coordinates all administrative/clerical functions required for such meetings i.e. schedule location prepare agendas prepare presentation provide copies of documents take notes etc.
Manages appointment calendar for the CPG Market VP & COO and all other administrative staff when needed.
Composes correspondence memos reports and minutes.
Takes notes and/or transcribes from handwritten material or Dictaphone.
Types formats and proofreads a variety of materials including correspondence memos reports charts statistics minutes of meetings etc.
Edit and make copies.
Collate and assemble reports and documents.
Makes appropriate arrangements for attendance at seminars etc. including all types of travel reservations confirms lodging and airline reservations prepares travel/training form and expense reports.
Provides research and administrative support to special projects.
Prepares and inputs data for projects.
Compiles required statistics.
Coordinates composes and disseminates communication pieces such as Huddles and other internal newsletters etc.
Deals discreetly and exercises independent judgment with sensitive information contained in CPG financial information salary minutes letters and documents concerning physicians staff hospital affairs board affairs and legal information of a confidential manner.

Supports the other administrative assistants during their absences with Kronos processing A/P and other duties as necessary.
Assist in new office set ups including the completion of PERs MIS security forms scheduling of Computer training working with the new offices in setting up accounts with our vendors for supplies ordering necessary forms/prescriptions/etc. from the print shop and ordering furniture if needed.
Submission of CLIA changes of Status Forms for new offices if needed.
Submission of Supervising Physician Applications/Collaborative Agreements for the physician assistants/nurse practitioners working within CPG.
Coordinates Student Placement within all CPG Practices; ensures proper affiliation agreements are in place collects all required paperwork from student/university to be sure they meet all requirements and works with MIS for access to the EMR system.
Works with MIS and insurance payers to coordinate the schedule of electronic medical records audits for regulatory purposes.
On-boards new Physicians and Advanced Practitioners by providing support with questions collection and dissemination of.
Credentialing documents to proper departments works with practice manager medical staff billing credentialing and risk management to ensure provider is ready to start per date of contract.
Any other special projects or duties as assigned.
