Job Description

Position: Administrative Assistant Maintenance Department

Position Purpose:
The Administrative Assistant provides high-level administrative support to the Maintenance management team. This role requires strong organizational skills sound judgment and the ability to manage time information and communications in a professional manner. The ideal candidate will balance multiple priorities while maintaining strong working relationships across all levels of the organization.

Essential Duties and Responsibilities
(Additional duties may be assigned.)

  1. Handle all confidential information with discretion.

  2. Prepare daily and on-demand reports for supervisors and managers.

  3. Update the maintenance shop whiteboard on a daily and weekly basis.

  4. Maintain KPI documentation and prepare weekly presentations for KPI meetings.

  5. Track and report labor and mobile equipment utilization.

  6. Manage the vacation calendar and maintain all personnel files.

  7. Support onboarding and training of new personnel.

  8. Develop and manage filing systems and databases.

  9. Provide general assistance to managers and supervisors as needed.

  10. Coordinate and schedule meetings and training sessions.

  11. Communicate and collaborate with other departments as required.

  12. Oversee the maintenance and functionality of the APEX machine.

  13. Maintain and process maintenance hourly payroll.

Required Skills and Abilities:

  • Strong organizational skills and attention to detail

  • Excellent written and verbal communication skills

  • Proficiency in Microsoft Office Suite

  • Ability to maintain accurate clerical records

  • Ability to exercise good judgment tact and courtesy particularly when working with engineering staff

Education and Experience:

  • High School Diploma or equivalent required
