Job Description

Coordinator role:

  • Review booking in QSP check relevant documents and ask supplier to submit if missing calculate MD validate booking in QSP
  • Check the system continuously for changes validate the order again.
  • Especially on peak days check booking 3-4 days in advance and ask supplier for support if we can inspect in advance to ensure the schedule.
  • Work with the factory on the availability of goods and arrival time of containers at the warehouse to ensure the inspection time.
  • Consider allocation to ensure fairness for all inspectors.
  • Inform the inspector of the mission and allocate inspector in system.
  • Support inspectors if there is any issue during inspection at factory.

PM role:

  • Follow up on new services AM assigned in T4T system.
  • Create request on T4T when receiving repeat services from supplier.
  • Create requests on QSP for special services and in urgent cases.
  • Check with the supplier about loading time loading address contact information and ask for packing list and feedback to AM.
  • Double check QC PLAN if its correct against with packing list. Support AM to finish QC PLAN in urgent cases (tight timeline /AM off.)
  • Inform AM if there is any change before/after inspection and update T4T/QSP/QC plan accordingly.
  • Inform coordinator to allocate inspector. Once the inspector is allocated send the inspectors information to the supplier.
  • Create group chat (Zalo or Teams) and send related information to inspector such as PL CLSR documents guide inspector check photos and support inspector during service.
  • Finish PM Closure in T4T (MD loaded quantity OT...).
  • Support inspectors resolve the report on hold.

Qualifications :

  • 3-4 years of experience in logistics/trading
  • Bachelors degree
  • Excellent English skills
  • Proactive attitude
  • Excellent communication skills with suppliers inspectors and colleagues in different countries
  • Strong problem-solving skills
  • Excellent command of Microsoft Excel Word etc.
  • Open and quick to adapt and learn new systems and procedures
  • Able to manage tasks and time properly as the role offers the opportunity to work from home
