The Opportunity
Our Canadian natural gas pipelines business is looking to add an #EnergyProblemSolver in Calgary.
We are seeking a Commercial Administratorto join the Commercial Enablement team in TC Energys Non-Regulated Commercial and Business Development (C&BD) department. This is a opportunity to be a part of an effective collaborative and creative group commercially managing a critical link in connecting secure affordable and sustainable Canadian natural gas to the world: the Coastal GasLink (CGL) pipeline and related business opportunities.
In this role you will be pivotal in ensuring that governance requirements are administered for the departments commercial and partnership agreements. You will ensure that committee meetings related to executing those agreements are organized documented and executed in adherence to their Terms of Reference (TORs).
The ideal candidate will have strong organizational skills pay attention to details and be able to work across multiple groups to drive actions forward. You will report to the Manager of Commercial Enablement.
You and your colleagues governance and support scope will include the operating CGL and Ventures LP pipelines CGLs equity partners and growth opportunities like the Cedar Link Project and CGL Phase 2 Project.
What youll do
Maintain knowledge of commercial governance commitments: Maintaining an understanding of the governance requirements of select CGL agreements and executing processes to meet those obligations for CGL and its counterparties. Contract and commercial expertise and interpretations will be provided by leadership and colleagues to apply the governance requirements
Execute governance processes: By understanding all committee mandates and attending (with your colleagues) all commercial committees as either a Secretary or observer you will ensure each committee stays within its own obligations and that issues affecting multiple committees are identified and resolved with all relevant stakeholders
Coordinate and administer working groups and committees: Organize meetings manage distribution lists and attendees including ensuring ability to access in-person and virtual meeting spaces act as Secretary for select committees and compile and distribute materials to satisfy commercial and partnership agreement requirements and ensure timely aligned decisions. Meeting materials may include obtaining meeting spaces administrative organization for off-site locations or tours developing and seeking approval of Terms of Reference agendas pre-read packages minutes and tracking action items ensuring that governance activities within your scope are conducted with precision and accountability
Administer executive committees on behalf of team: Provide operational support for executive committees where the Manager Commercial Enablement or other members of the team act as Secretary facilitator etc. This allows leadership to focus on strategic priorities while ensuring governance processes are upheld
Support committee representatives and contributors: By understanding the diverse backgrounds and audience needs of multiple executive and working-level committees in consultation with leadership you will liaise with subject matter expert (SME) contributors at multiple levels of the organization to develop fit-for-purpose verbal and written content to enable effective committee decision-making
Assist in maintaining the integrity of commercial records: By administering one source of truth for commercial records and managing secure access permissions you will ensure accuracy accessibility and efficiency across the commercial record lifecycle
Shared inbox and information distribution: Managing distribution lists and escalating inquiries and alerts to the CGL Commercial Governance inbox to the appropriate contacts will facilitate your colleagues prompt response to critical operational or commercial developments on the CGL pipeline and related energy infrastructure
Support management and colleagues: Facilitate preparations for meetings and presentations ensuring materials are ready reviewed and aligned with objectives to improve quality and pace of decision-making outcomes.
Minimum Qualifications
5 years of experience in administrative coordination preferably in a business development commercial or governance environment
Self-motivated and skilled at managing ambiguity and sensitive or confidential information in a fast-paced deliverable-oriented environment
Ability to manage and continuously improve processes and procedures
Systems thinking to identify for leadership and colleagues emerging governance or organizational challenges or opportunities to enable SMEs to develop solutions to improve the teams approach
Attention to detail and a proactive mindset to drive committee actions and strong secretarial skills particularly in taking accurate and comprehensive meeting minutes
Excellent verbal and written communication skills including facilitating group discussions and meetings for internal and external representatives
Comfort with Microsoft Office Suite (especially Outlook SharePoint Teams PowerPoint and Word) to ensure confidentiality and compliance while facilitating appropriate information sharing and transparency.
Preferred Qualifications
Proficiency with CoPilot
Demonstrated experience supporting executive Board of Directors or partnership level committees
Experience with content management systems or workflow tools (e.g. Power Apps)
Knowledge of TC Energy or CGL corporate structure and management/governance norms and standards.
