As the Coordinator Facilities Maintenance Services you will be responsible for the strategic and operational leadership of Councils facility maintenance function. This role is vital in ensuring the safe compliant efficient and customer-focused delivery of both reactive and planned maintenance services across all Council buildings and facilities.
Reporting to the Manager Facilities Fleet and Depot Stores you will be leading two Area Leaders (Reactive Maintenance and Planned Maintenance). This position oversees a complex and high-value service area the focus is on maintaining the functionality safety and long-term performance of Councils built assets in alignment with Councils asset management strategy and long-term financial plan.
This is a key leadership role within the Facilities Fleet and Depot Stores Department under the City Operations Directorate and will see you contributing significantly to risk mitigation compliance service improvement and whole-of-Council outcomes. The position offers a dynamic work environment with opportunity for strategic influence collaboration and leadership across asset maintenance operations.
What your day will look like
Leading and empowering reactive and planned maintenance teams to deliver timely cost-effective services
Providing strategic oversight of Councils reactive maintenance operations ensuring responsive service and quality outcomes
Overseeing statutory compliance and essential safety measures across all Council facilities
Supporting the delivery of scheduled maintenance through bundled service contracts ensuring operational effectiveness and timely escalation of contractor performance issues
Overseeing the integrated collection and analysis of asset condition data through operational workflows audits and maintenance history
Leading efforts to translate asset insights into planning inputs strategies and risk mitigation actions
Forecasting managing and reporting on significant operational budgets
Developing maintenance policies and implementing systems of work
Ensuring asset risks are identified reported and addressed in a timely manner
Collaborating in the innovation in building performance and lifecycle asset planning
Driving collaboration with contract management peers and workforce to provide performance insights and continuous improvement opportunities
What you will bring
Tertiary qualifications in Engineering Facilities Management Asset Management or a related field
Extensive experience leading planned and reactive facilities maintenance operations
Expert-level knowledge of statutory and regulatory obligations related to building safety maintenance and compliance with demonstrated ability to ensure Council meets all legal and risk-based requirements
Demonstrated leadership in navigating complex compliance frameworks and embedding risk-aware practices across operational teams
Proficiency in TechnologyOne for budget work order procurement and asset data management
Demonstrated experience leading operational delivery of contractor-based maintenance services with ability to identify service issues and support performance improvement in collaboration with contract managers
Expert knowledge of key building compliance legislation and standards including the NCC/BCA Essential Safety Measures (ESM) Work Health and Safety (WHS) and Disability Discrimination Act (DDA) with a demonstrated ability to ensure operational adherence and audit readiness
Experienced and emotionally intelligent leader with the ability to build trust support team growth and guide others through clarity collaboration and consistency
Excellent stakeholder engagement and communication skills including high-level report writing and negotiation with a calm and composed style that balances empathy with firm adherence to statutory policy and service expectations
A current Victorian Drivers Licence Construction Induction (White) Card and Working With Children Check is necessary
