The University of Iowa Health Care Medical Center is seeking a Clinical Services Coordinator to provide both functional and administrative supervision as well as day-to-day oversight of the Clinic Services Specialists in the Department of Neurology. Additionally this position will coordinate and facilitate the flow of patient access services such as the delivery of specialty care registration scheduling and co-payment collection across all Neurology divisions and in all Neurology clinic locations including 2RCP North Dodge IRL Sleep Clinic and Urbandale.
Job Duties to Include:
- Provide administrative supervision and leadership for all Clinic Services Specialists (CSS) within the Department of Neurology ensuring high standards of performance and professionalism.
- Design implement and maintain provider schedules in Epic including configuration of time frames appointment types exclusions and capacity limits.
- Manage scheduling of Neurology ambulatory clinic appointments multidisciplinary clinic visits and diagnostic testing; oversees incoming referrals and appointment requests.
- Monitor provider schedules to identify and correct errors and recommend template updates to enhance provider productivity and streamline patient care workflows.
- Perform routine updates to provider schedules including daily and weekly adjustments as needed.
- Generate and analyze Epic reports to identify provider availability and support backfilling of open slots including coordination of add-on services.
- Enforce provider time-off request procedures to maintain continuity of care and clinic efficiency.
- Collaborate with faculty departmental leadership Health Care Information Systems (HCIS) and the Patient Access Center (PAC) to assess scheduling needs and implement workflow improvements.
- Draft revise and finalize scheduling templates and questionnaires in alignment with clinic operations and provider preferences.
- Schedule clinic visits for special cases involving workers compensation foundation requests HMO insurance facilitated access appointments etc.
- Oversee inpatient scheduling for General Stroke and EMU/EEG
- Communicate scheduling policies workflows and updates clearly and effectively to providers and clinic staff.
- Serve as a liaison between the Neurology Clinic and PAC ensuring alignment with operational guidelines and service standards.
- Coordinate with Patient Financial Services (PFS) on Pre-Access financial counseling and billing-related activities to support patient access and satisfaction.
- Provide strategic recommendations to Neurology leadership on policies and procedures to improve patient care delivery and optimize clinic resource utilization.
- Lead service recovery efforts for patients implementing processes to enhance satisfaction and developing scripting tools for support staff; train staff on effective use of scripts.
- Hire train and manage administrative clinic services personnel; ensure compliance with institutional policies and performance standards.
- Act as a role model and resource for clinic support staff offering regular feedback coaching and monthly one-on-one meetings to support professional development.
- Attend weekly/monthly divisional and clinical operations meetings as able.
- Utilize and maintain provider schedules in QGenda scheduling software.
- Participate in departmental collaboration initiatives including Unit Practice Council Clinic Operations and Provider Workgroups.
- Perform other duties as assigned to support clinic operations and departmental goals
Percent of Time: 100%
Schedule: Monday-Friday day shift no weekends or holidays.

REQUIRED QUALIFICATIONS
- A bachelors degree in a healthcare and/or business management related field or an equivalent combination of education and experience.
- Minimum 1-year supervisory experience in a professional environment.
- Experience with patient scheduling in a high-volume healthcare setting.
- Proven ability to lead motivate and support team members effectively fostering a collaborative and high-performance work environment through clear communication coaching and conflict resolution.
- Demonstrated attention to detail and accuracy.
- Strong organizational skills.
- Ability to handle multiple tasks quickly and effectively proactively establishing priorities and meeting deadlines.
- Excellent written and verbal communication skills.
- Proficiency in computer software applications (e.g. Microsoft Office Adobe etc.).
DESIRED QUALIFICATIONS
- Strong proficiency with Epic EMR is desired.
- Knowledge understanding and experience designing modifying and optimizing clinic scheduling templates.
