Client Services Associate Job Description
OVERALL FUNCTION
The Client Services Associate (CSA) plays a pivotal role in delivering exceptional client service ensuring the seamless operation of an efficient and organized office environment. This allows financial advisors within the practice to concentrate their efforts on cultivating and strengthening client relationships. As a vital liaison the CSA facilitates communication and coordination between the home office financial advisors network office support teams and clients. The CSAs responsibilities encompass managing client communication supporting marketing strategies processing data and policy documents and maintaining client accounts. By doing so the CSA contributes significantly to the overall success and productivity of the financial advisory team ensuring that client needs are met promptly and effectively.

SPECIFIC DUTIES INCLUDE BUT ARE NOT LIMITED TO:
- Handles case notes processes correspondence and maintains client case files to ensure accurate and up-to-date records.
- Responsible for filing new statements account forms and other materials related to insurance and investments.
- Answer telephone calls and directs them appropriately to facilitate effective communication.
- Contacts clients to set up follow-up meetings with advisors confirms receipt of forms requests the return of completed forms and addresses any late payments.
- Onboards and maintains client accounts by collecting necessary client information and required documentation working closely with the client and team to ensure compliance and accuracy.
- Educates or enrolls clients in digital tools to enhance their experience and streamline processes.
- Supports the teams marketing strategy digital presence events and client initiatives to promote growth and engagement.
- Maintains supplies of marketing materials to ensure availability for client interactions and promotional activities.
- Assists the team in cultivating and enhancing new and existing client relationships fostering trust and long-term partnerships.
- Input data prints proposals and gather information at the direction of the financial advisor to prepare for client meetings. Additionally the CSA will maintain current client information across all product lines to ensure accuracy and completeness.
- Monitors the Daily Status Report (DSR) and expedites any additional underwriting requirements. Communicates with the home office NMIS and fund families as needed to supply or obtain critical information.
- Prepares and prints letters of instruction for client signatures and prepares policies for delivery. Maintains check logs and compliance records to ensure adherence to regulatory standards.
- Reviews insurance applications conversions and policy changes for completeness and accuracy returning documents to representatives for any missing information.
- Provides current status and account values for non-securities-related accounts. Processes incoming non-securities-related insurance service requests from clients including address changes bank change information loan requests and ISA service inquiries.
- Prepares account summaries for variable and securities owners to provide comprehensive overviews of account activities.
QUALIFICATIONS AND SKILLS
- Bachelors Degree preferred.
- 3 years of experience in administrative support or customer service preferably in the financial services and/or insurance industry.
- Excellent oral and written communication skills.
- Familiarity with Microsoft Office programs as well as data entry and information retrieval software.
- Demonstrates organizational and time management skills with the ability to multitask set priorities and meet deadlines.
- Strong attention to detail with the ability to work with a high degree of accuracy.
- Ability to work in a fast-paced environment both independently and as part of a team while maintaining confidentiality.
LICENSE AND CERTIFICATIONS REQUIRED
- Life & Health Insurance License preferred but must obtain within three months of employment.
- SIE and Series 6 or 7 preferred.
ADDITIONAL INFORMATION
- Compensation Range: $48000 - $56000 annual salary commensurate with experience plus an annual bonus incentive.
