Job Description

Primary Purpose:

Oversee the operations and activities of the Santa Fe Texas Education Foundation (SFTXEF). Assist the SFTXEF Executive Director to develop and implement Foundation programs and initiatives.

Qualifications:

Education/Certification:

Bachelors degree in Education Nonprofit Management Business Administration or related field preferred

Special Knowledge/Skills:

Excellent public relations organizational communication and interpersonal skills

Ability to multi-task various administrative activities

Ability to prioritize workflow for themselves and others to address the multiple needs of the Executive Director and Foundation

Ability to speak effectively before groups of employees or organizations groups of parents and staff to other employees in one-on-one and small group situations

Ability to communicate effectively in both written and oral forms with all levels of management both internal and external to the Foundation and district

Ability to use software to develop spreadsheets perform data analysis maintain financial data and do word processing

Ability to utilize social media and online donation platforms

Experience:

Experience in nonprofit management education or a related field is preferred

Grant writing financial management and event planning experience preferred

Major Responsibilities and Duties:

Finance

  1. Manage the Foundations budget ensuring funds are allocated in compliance with foundation policy and procedures
  2. Complete periodic financial reports and make presentations to foundation leadership
  3. Ensure the Foundation operates in compliance with all legal regulatory and tax requirements through maintenance of accurate records of donations grants and financial transactions

Fundraising

  1. Research and identify grant opportunities and other funding sources for Foundation programs and prepare grant applications and other associated materials according to required format
  2. Meet deadlines for preparation and submission of grant applications and grant-related reports as necessary to comply with grant requirements
  3. Monitor grant-funded programs and associated expenditures to ensure compliance with regulations and guidelines
  4. Build and maintain relationships with donors educational institutions community partners and volunteers. Represent the foundation at community and educational events
  5. Develop and implement donor stewardship strategies to build ongoing relationships. Provide analysis and reports on the success of foundation initiatives
  6. Assist with all foundation events and fundraisers

Management

  1. Recruit train and manage and support the Foundation volunteer program in support of Foundation events and initiatives ensuring engagement and recognition Serve as the point of contact for donors partners staff and Foundation Board Members
  2. SFISD Communications Responsibilities
  3. Manage circulation of district flyers as submitted by external stakeholders
  4. Support district events and activities and community engagement events/projects
  5. Assist with district advertising for events and securing sponsorships for students staff and district events (i.e. Athletic scoreboard employee appreciation events district magazine etc.)

Other

  1. Prepare correspondence forms manuals reports presentations and other documents for the Foundation Board of Directors and Executive Director
  2. Organize and prepare Foundation meetings with all stakeholders including agendas meeting minutes materials and supplies
  3. Order and maintain an inventory of supplies and equipment for all related functions
  4. Follow district safety protocols and emergency procedures
  5. Display tolerance necessary for accepting supervision for and criticism of job performance
  6. Work in harmony with supervisory faculty and peer personnel
  7. Use professional information discreetly and judiciously
  8. Support and follow administrative and Board policy
  9. Represent the school system to the community in a positive professional way
  10. Maintain a sincere friendly attitude toward patrons
  11. Perform other duties as assigned

Supervisory Responsibilities:

Select train and oversee Foundation volunteers

Make recommendations related to assignment and retention of volunteers

Mental Demands/Physical Demands/Environmental Factors:

Tools/Equipment Used: Standard office equipment including personal computer and peripherals

Posture: Prolonged sitting; occasional bending/stooping pushing/pulling and twisting

Motion: Repetitive hand motions frequent keyboarding and use of mouse; occasional reaching

Lifting: Occasional light lifting and carrying (less than 30 pounds)

Environment: May work prolonged or irregular hours; frequent districtwide and occasional statewide travel

Mental Demands: Work with frequent interruptions; maintain emotional control under stress
