The Executive Personal Assistant (EPA) will provide high-level professional administrative and operational support to the CEO. This role requires exceptional organisational capabilities discretion initiative and the ability to manage a broad range of tasks in a fast-paced and high-performance environment. The EPA will act as a key liaison and trusted coordinator ensuring the CEO s time and priorities are managed effectively and with strategic foresight.
1. Executive Support
Manage the CEO s calendar including scheduling prioritising and coordinating internal and external meetings.
Prepare high-quality documentation including agendas briefing notes meeting packs and presentations.
Coordinate local and international travel arrangements including flights accommodation visas and detailed itineraries.
Proactively manage email correspondence and ensure timely follow-up on tasks deadlines and strategic deliverables.
Provide logistical support for events engagements and key stakeholder interactions.
Support the preparation and coordination of EXCO Board and high-level management meetings including agenda setting minute-taking and action tracking.
Track and follow up on key projects and strategic initiatives across departments to ensure alignment with organisational priorities.
Serve as a liaison between the CEO s office and internal/external stakeholders to ensure effective communication and timely responses.
Draft and edit professional correspondence reports and presentations on behalf of the CEO.
Maintain structured filing systems (digital and physical) to ensure secure and efficient access to documents and data.
Handle confidential and sensitive information with utmost discretion diplomacy and professionalism.
Maintain oversight of deadlines submissions and compliance documents relevant to the CEO s portfolio.
Assist in the coordination and tracking of organisational priorities performance indicators and reporting timelines.
Ensure the CEO is well-prepared for all engagements with the necessary materials insights and context.
Minimum of 5 years experience as an Executive Assistant or Personal Assistant at senior leadership or C-suite level.
Advanced proficiency in Microsoft Office Suite calendar/email management systems Zoom/Teams and other digital tools.
Experience in the higher education regulatory or corporate sectors will be advantageous.
Strong organisational and time management skills with the ability to manage multiple competing priorities.
Exceptional written and verbal communication skills.
High degree of professionalism confidentiality and integrity.
Strong attention to detail with a solutions-oriented and proactive mindset.
Ability to work independently exercise sound judgement and respond effectively under pressure.
Adept at working in fast-paced dynamic environments and supporting executive-level decision-making.
Education
Minimum of 5 years experience as an Executive Assistant or Personal Assistant at senior leadership or C-suite level.
