Description

Job Purpose:

The Sales Support Administrator will provide general administrative support to the sales team and handle all marketingrelated queries.

Key Performance Areas:

1. New Business Support
1.1. Appointment Coordination
1.2.0.1.1.1. Support in the process of onboarding new clients as and when required.
1.3.0.1.1.2. Scheduling of appointments for sales team when needed.
1.3.1.1.1.3. Preparing of necessary documentation marketing material etc. for appointments
1.4.1.2. Contract Drafting and Management
1.4.1.1.2.1. Prepare and draft new sales and replacement contracts and agreements in collaboration with the sales team.
1.4.2.1.2.2. Ensure all contracts are compliant with company policies and legal standards.
1.4.3.1.2.3. Maintain accurate records of all contracts and related documentation.


2. Events & Marketing:
2.1. Event Planning
2.1.1. Assistance with the planning of all Marketing events
2.1.2. Send out invitation via bulk mail.
2.1.2.1. Track RSVPs and attendance.
2.1.3. Manage enquiries from potential attendees.
2.1.4. Obtain follow up feedback from Representatives of events and communicate same to Assistant Sales Manager.

2.2. Marketing
2.2.1. Support sales team by conducting market research on potential clients competitors market trends and customer needs as and when required.

3. Client Relationship Management (CRM) system
3.1. Responsible for capturing all sales and marketing interactions on the companys CRM system.

4. General Administrative Support
4.1. Sales related stats.
4.1.1. Keeping Sales stats up to date
4.1.2. Assist with preparing statistics for client appointments.
4.2. All administration pertaining to the Marketing Department.
4.2.1. Provide administrative support to the sales team including preparing reports drafting correspondence and maintaining accurate records of communication and the current phase of the sales journey.
4.3. Supporting the sales rep by drafting contractual documents and ensuring that they comply with legal requirements and are in line with client quotations.
4.3.1. Following up on outstanding contract documents
5. Incoming calls and queries
5.1. Answering all incoming calls and queries relating to the different service offerings of the group.
5.2. Qualifying potential clients and leads.

6. Special projects
6.1. Complete any special projects as requested by Management.



Requirements

Key Competencies:

1. Enthusiastic and positive with excellent multitasking skills.
2. Flexible to adapt to changes in daily routine on short notice.
3. Excellent interpersonal abilities and English communication skills.
4. Strong attention to detail
5. Ability to work independently and as part of a team.
6. Computer literate intermediate knowledge of Microsoft Office
7. Solid understanding of Marketing and Sales Principles
8. Basic knowledge of legal contract requirements and different types of entities advantageous

Minimum Requirements:

1. Matric/Grade 12 or equivalent certificate is required.
2. Minimum of 2 years experience as a Sales Support Administrator or similar role within a corporate environment.
3. Applicants who meet the minimum requirements will be required to successfully complete the relevant skills assessments as part of the screening and shortlisting process.
