Duties and responsibilities:
- Provides full administrative support to all team members
- Upload position on ATS system as received
- Managing the interview scheduling process
- Ensuring all recruitment activity is tracked within various systems
- Initiating background checks in the systems and with external agencies
- Building and maintaining strong working relationships between all parties making sure they are constantly up to date with the process
- Managing Outlook inbox effectively
- Sending screening links to candidates via email
- Monitoring the systems for candidate responses
- Arranging interviews by calling candidates and sending confirmation emails
- Sending Microsoft Teams invites to candidates
- Formatting CVs and uploading them to the online portal and managing interview invites via the portal
- Maintaining the recruitment administration via inhouse and external systems
- Chasing candidates for availability
- Occasional minutetaking from conference calls
- Sending rejection notifications and offer letters to candidates
- Ad hoc assistance with other administrative tasks for the team when required
- Experience working in a busy administration role with conflicting deadlines.
- Experience working in a recruitment administration role is beneficial but not essential.
- Ability to pick up new systems easily accustomed to working digitally using different systems.
- Strong organizational skills ability to handle multiple tasks at once.
- Strong communication skills and confident telephone manner for candidate communication.
- The ability to prioritize workloads and use initiative when making decisions is essential for this role.
- Ability to work in an accurate and timely manner.
Qualifications and experience:
- Matric Certificate / Grade 12 essential
- Diploma/Degree in any field essential
- 1 3 years of experience in an administrationdriven environment essential
- Computer literacy: MS 365 suite essential
- Experience with various social media platforms (LinkedIn)
- APSO registration and certification (highly advantageous)
- 1 3 years of experience in recruitment either in a fastpaced startup / progressive corporate environment and preferably with previous recruitment agency background (highly advantageous
