VA Listing Coordinator & Marketing Assistant (Remote Full-Time)
Location: Remote
Schedule: 8:30 am 5:30 pm Central Time Monday Friday (40 hours/week)
Compensation: $1200 $1600 per month (depending on experience)
About the Role
We re seeking a highly organized and detail-oriented VA Listing Coordinator & Marketing Assistant to support a growing real estate this role you ll manage and coordinate the listing process while also providing general administrative and client support. You ll play a key role in keeping transactions documentation and communications running smoothly and efficiently.
Key Responsibilities
Listing Preparation & Coordination
- Create and maintain organized electronic folders for each listing.
- Coordinate with DOO to ensure vendors (stagers photographers sign/lockbox installers) are scheduled and tracked.
- Track seller homework items (disclosures staging checklists documents) and follow up until complete.
- Prepare build and ensure every MLS listing entry follows branding and compliance standards.
Marketing & Promotion
Listing Marketing
- Create prepare and manage listing data and status in MLS and brokerage platforms.
- Follow pre-generated action plans for listings to ensure all tasks are completed in a timely manner.
- Create digital marketing collateral using provided templates.
- Draft and send promotional emails to co-op agents.
- Execute reverse prospecting campaigns and outreach through MLS tools.
General Marketing Support
- Assist with social media content scheduling and posting.
- Support print marketing by prepping magazine ads postcards and other direct mail campaigns.
- Help maintain marketing calendars and track deadlines for ad submissions campaigns and events.
- Assist with client and community event preparation by creating graphics RSVP forms event reminders and follow-up communications.
- Collect and organize photos testimonials and marketing assets for team branding purposes.
Compliance & Documentation
- Confirm compliance is maintained with brokerage policies and keep digital files audit-ready at all times.
- Maintain detailed records of listing activity and communications for each property.
Communication & Scheduling
- Act as a point of communication with team members regarding timelines listing updates and marketing steps.
- Coordinate public and broker open houses virtually:
- Add events to team calendar.
- Send reminders/updates to sellers and host agents.
- Provide digital support materials as needed.
- Deliver timely updates to DOO and Listing Agent on listing and marketing progress.
Requirements
- Must have prior U.S. real estate experience.
- Prior experience in real estate or a similar administrative/coordinator role.
- Proficiency in Microsoft Office Google Suite and real estate-specific software (DocuSign Sisu Brokermint).
- Excellent written communication skills.
- Ability to work independently and manage time effectively.
- Willingness to learn new systems and processes.
- Neutral/American-sounding accent preferred for client interactions.
- Must have own laptop cellphone and a home office setup with fast reliable internet.

Expectations & Standards
- Be available during U.S. Central business hours and respond to internal team messages within 15 30 minutes.
- Maintain accuracy and compliance across MLS entries and documentation.
- Proactively follow up on outstanding items (seller documents marketing approvals campaign deadlines).
- Protect confidentiality and consistently uphold a professional brand image.
- Take ownership of assigned tasks and ensure deadlines are consistently met.
Work Hours
- Monday Friday 8:30 am 5:30 pm Central Time (40 hours/week).
- Occasional availability for team meetings outside of core hours.
