Job Description

This role acts as the gatekeeper responsible for the maintenance and procedures that dictate the work of the operational procurement function and the day-to-day management of the purchase order process across OMEM business units. The role is individually accountable for achieving results through own effort.

Key Responsibilities:

Fleet Administration

  • Coordinate and maintain accurate records of fleet vehicles service histories licensing inspections and insurance.

  • Support procurement allocation and decommissioning processes for fleet assets.

  • Develop implement and maintain fleet manual policies and SOPs

  • Establish a sound fleet management service culture through awareness campaigns to influence behavior and drive the importance of compliance and risk mitigation.

  • Manage support FML strategy.

  • Order fleet proactively for new staff and reallocate qualifying fleet internally.

  • Keep fleet register up to date.

  • Collaborate with external stakeholders such as WesBank for Business Continuity.

Document Management
Create update and securely maintain documentation related to vehicle maintenance supplier contracts fuel usage and driver compliance. Ensure documentation is accessible for audits and reporting.

Scheduling & Coordination
Assist with scheduling vehicle servicing repairs and inspections. Liaise with internal departments and external vendors to ensure timely completion of tasks and minimal disruption to operations.

Operational Support
Execute routine operational tasks including vehicle checks incident reporting and fuel card management in alignment with company procedures and performance standards.

Internal Stakeholder Support
Collaborate with internal teams to provide information resolve fleet-related queries and support planning for vehicle usage route efficiency or driver allocation.

Compliance & Risk Management
Ensure compliance with organizational policies road safety regulations and applicable transport legislation. Flag discrepancies and ensure accurate recordkeeping for audits.

Data Management & Reporting
Collect enter and analyze fleet data related to usage cost fuel efficiency and downtime. Support preparation of performance reports and insights for management decision-making.

System & Software Usage
Maintain and update fleet management systems spreadsheets and vendor platforms. Support implementation of digital tools and process improvements where needed.

Continuous Learning & Development
Maintain up-to-date knowledge of fleet operations and transport compliance requirements. Participate in training sessions and apply best practices to enhance service efficiency.

The Recruitment Process:

  • TA Interview: This will be a discussion with a member of the Talent Acquisition Team to give you an understanding of our business our culture & values and more context on the role. It will also allow us the opportunity to get to know you more and ensure OMI can meet your career aspirations.

  • Panel Interview: This will be with 2 members of the Senior Leadership of the Hiring Team and 1 member of the HC Leadership Team.

  • Technical & Psychometric Assessments: These will depend on the role and will sometimes happen concurrently with Vetting through an external service provider & Internal Verification.

  • Final Feedback.
