Assistant Service Manager Job Description
Position Summary:
The Assistant Service Manager supports the Service Manager in overseeing the daily operations of the dealerships service department. This role ensures efficient workflow exceptional customer service proper repair quality and adherence to manufacturer and dealership standards. The position serves as a bridge between customers technicians parts personnel and management to maximize productivity profitability and customer satisfaction.
Key Responsibilities:
1. Customer Service & Communication
Greet and assist service customers in person and over the phone.
Listen to customer concerns and clearly document repair orders.
Provide accurate repair estimates timelines and status updates.
Handle escalated customer issues professionally and in accordance with dealership policies.
2. Workflow & Repair Order Management
Assign jobs to technicians based on skill level availability and shop load.
Monitor repair progress to ensure timely completion.
Review repair orders for accuracy completeness and compliance with warranty or manufacturer guidelines.
Follow up on parts orders and coordinate scheduling when delays occur.
3. Support of Service Manager
Assist in daily department operations including opening/closing procedures.
Support monthly sales gross profit and productivity goals.
Help track service KPIs (e.g. hours per RO CSI scores technician efficiency).
Step in for Service Manager when needed.
4. Team & Shop Coordination
Serve as a communication link between service advisors technicians and parts department.
Encourage teamwork positive morale and safe work habits.
Assist in technician timekeeping and flat-rate hours tracking.
5. Administrative & Compliance Duties
Maintain records in compliance with dealership manufacturer and legal requirements.
Process warranty claims and ensure accurate submission.
Ensure shop tools and equipment are properly maintained.
Skills & Qualifications:
Proven experience in automotive service advising or related role.
