Job Description

Position Summary:

Coordinate develop administer and assess administrative procedures and key staffing for University Housing & Dining and Residence Education. Serves as manager and supervisor of all front desk operations in conjunction with Contracts & Assignments liaison. Responsible for recruitment selection and training of Office Administrator staff as well as assisting in desk clerk recruitment and -coordinate and manage summer school and support camp and conference operations. Administers administrative processes including break period processes and staffing room reservation system and annual apparel orders. Supervises assigned hall coordinator staff and assists in hall management including supervision facilities and judicial processes. Serve in leadership on-call rotation for Residence Education

Specific Job Duties & Tasks:

  • Develop key protocols and policies to administer front desk operations at all residence halls.
  • Assist in the creation and execution of annual desk clerk training to include training on customer service skills and emergency response.
  • Design edit and publish front desk policies and manuals annually for both Office Administrators as well as student desk clerks.
  • Manage room reservation system for residence halls. Serves as contact for common room technology needs. Responsible for training staff on usage of common room technology.
  • Develop protocols and policies for break periods and work with hall staff to identify staff that will be working over break periods.
  • Maintain regular communication with campus partners with vested interest in administrative procedures.

  • Coordinate hiring process for Office Administrator staff. Assist in development of student desk clerk annual hiring process.
  • Create rubrics grids and best practices for supporting supervision and evaluation of student desk clerks.

Required Qualifications:

  • Masters degree in Student Development Counseling Higher Education Administration or related field or an equivalent combination of education and experience is necessary.
  • Three or more years full-time experience in housing administration or management experience in cultural educational and development program planning in a college or University setting.
  • One to three years supervisory experience including student and/or secretarial staff.
  • Exceptional administrative skills including a proven ability to handle multiple projects simultaneously to establish priorities accomplish goals and meet deadlines.
  • Excellent problem-solving skills including experience analyzing and resolving conflict successfully navigating group dynamics and effectively building teams.
  • Experience serving in an on-call duty rotation at the collegiate level.
  • Strong record of building teams and partnerships with colleagues and key campus stakeholder groups.
  • Excellent written and oral communication public speaking and organizational skills.
  • Strong interpersonal communication skills both written and oral in working with populations of students and staff from various backgrounds.
  • Demonstrated commitment to developing welcoming communities through dialogues around difference.

Desired Qualifications:

  • Experience with oversight of residence hall front desk operations mail distribution systems or experience hiring training and developing union level secretarial staff.
  • Supervisory experience of professional live-in staff or graduate students.
