Job Description
Job Title: ADMINISTRATIVE SECRETARY/BOOKKEEPER
Reports To: ASSISTANT SUPERINTENDENT OF CURRICULUM AND INSTRUCTION
General Job Description:
Under supervision provide bookkeeping and general secretarial functions as they relate to Curriculum Instruction Student and Family services and behavioral health.
Essential Duties and Responsibilities:
- Follow district polices and administrative rules and regulations
- General office responsibilities including directing visitors answering phones copying filing providing information shredding and typing correspondence.
- Maintain accurate and detailed records and documentation of State and Federal programs including expenditure reports data entry organize and disseminate information to the appropriate people.
- Initiate monitor and maintain RFPs contracts and renewals. Reconcile Operation/supply accounts and reporting.
- Communicate with Procurement office regarding contracts and professional development.
- Process purchase orders and requisitions according to federal law and established procedures.
- Attend to purchase orders to verify all have been approved printed ordered received and paid in a timely manner.
- Process out-of-district travel reimbursement forms for Student & family services including behavioral health according to established procedures
- Log and distribute materials equipment and/or supplies.
- Adhere to all Federal and State guidelines policies and procedures as they relate to Curriculum and Instruction.
- Coordinate and process Medicaid billing related to general education.
- Maintain confidentiality with sensitive matters.
- Be flexible and able to prioritize tasks.
- Work independently with very little supervision.
- Work with multiple administrators as needed.
- Work cooperatively as a member of the Curriculum and Instruction Team on any projects or initiatives for the department.
- Report to work on time and work no less than 7 hours a day.
- Attempt to deescalate parents/staff; listening/visiting with them about their concerns prior to them meeting with administrators.
- Other tasks as may be deemed appropriate and necessary by your supervisor.
Supervisory Responsibilities:
May be required to supervise student workers.
Qualifications:
- High School diploma or GED Associates degree preferred.
- Two years experience in bookkeeping accounting or Medicaid billing
Physical Requirements:
Sitting standing lifting and carrying (up to 40 pounds) climbing stairs reaching squatting kneeling having full mobility of fingers/hands and moving light furniture may be required unless ADA accommodations have been mutually agreed on and does not create an undue hardship upon the district.
Safety and Health:
Knowledge of universal hygiene precautions (blood borne pathogens body fluids etc.)
Equipment/Material Handled:
Must know how to properly operate or be willing to learn to operate multi-media equipment including current technology as needed.
Work Environment:
Must be able to work within various degrees of noise and temperature. Interruptions of work are routine. Flexibility and patience are required. Must be self-motivated and able to complete job assignments without direct supervision. After hours work may be required. May work under stressful conditions on occasion.
Terms of Employment:
Salary and work year to be established by the Board.
