Job Description

Job Title: Administrative Assistant
Classification: Non-Exempt
Department: Human Resources
Position: M-F Shift

Reports to: Human Resources Manager


Position Summary:
The Administrative Assistant provides comprehensive clerical and administrative support to ensure efficient daily operations within the department. This role requires strong organizational skills attention to detail and the ability to manage multiple tasks while maintaining a high level of professionalism and confidentiality.
Key Responsibilities:
  • Answer screen and direct phone calls; respond to inquiries in a timely and professional manner.
  • Manage calendars schedule meetings and coordinate appointments for department staff.
  • Prepare proofread and distribute correspondence reports memos and other documents.
  • Maintain accurate and organized filing systems both electronic and physical.
  • Coordinate travel arrangements including itineraries accommodations and transportation as needed.
  • Assist in planning and organizing meetings conferences and events including preparing materials and recording minutes.
  • Track and order office supplies; maintain inventory to support operational needs.
  • Compile and enter data into databases and spreadsheets; generate reports as requested.
  • Maintain confidential personnel and departmental records in accordance with company policies.
  • Ensure timely submission and processing of forms invoices and expense reports.
  • Foster positive relationships by providing clear courteous and timely communication.
  • Relay messages and follow up to ensure requests are addressed promptly.
  • Other duties responsibilities and activities as assigned by management.
  • Requires occasional physical activity throughout shift (except breaks and lunch) such as walking sitting standing bending stooping squatting reaching handling near/far vision pushing pulling carrying and lifting objects weighing up to 50 lbs.
Skills & Competencies:
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills.
  • High attention to detail and accuracy.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Professional demeanor and strong interpersonal skills.
  • Ability to work with minimal supervision when required.

Qualifications:
  • High school diploma or equivalent required; associates or bachelors degree preferred.
  • 3-5 years of administrative or clerical experience preferred.
  • Proficiency with Microsoft Office Suite (Word Excel PowerPoint Outlook) and other office software.
