About the Role
Were looking for a highly organized detail-oriented professional to support our Capital and Construction team. Reporting to the Supervising Engineer youll play a key role in ensuring projects run smoothly by providing vital administrative clerical and accounting support.
What Youll Do
- Prepare and post accounting entries for project transfers and end-of-month entries.
- Generate monthly reports in coordination with the Supervising Engineer.
- Track outstanding accounts and highlight delayed payments for necessary action.
- Document and maintain minutes of meetings including summaries of pending tasks.
- Monitor group communications and ensure the appropriate personnel address requests.
- Manage bi-weekly time entries for the Engineering Department.
- Process purchase requests and liaise with the Purchasing department for order completion.
- Keep track of active and archived purchase orders maintaining digital records.
- Prepare tender documentation and ensure timely receipt of tenders.
- Keep digital records on contractors including safety qualifications labor competency and equipment details.
- Review contractor invoices for consistency with rates and purchase/tender documents communicating with contractors as necessary.
- Assist Project Leaders throughout the work order process from initiation to completion.
- Track customer contributions and follow up with letters or calls as needed.
- Provide financial data support analyzing work order files.
- Monitor Key Performance Indicators for the Engineering group.
- Support regulatory requirements such as the General Rate Application upon request.
- Collaborate with Financial Services on capital work matters.
- Handle telephone reception for the Service Complex managing calls and messages.
- Undertake other relevant tasks as needed.
What You Bring:
- Grade 12 diploma or equivalency (G.E.D or C.A.E.C)
- Minimum 3 years experience in an administrative or clerical support function
- Proficiency with MS Word Excel Outlook Adobe Pro
- Experience with Oracle Suite (asset)
- Familiarity with Kronos Inspyrus TalkDesk or CCS (asset)
- Knowledge of accounting principles and computerized systems
- Strong time management and multitasking abilities
- Clear and professional communication skills
