Job Description

Job Title: Sales Coordinator

Department: Sales and Marketing

Reports To: Head of Sales and Marketing

SUMMARY:

The sales coordinator is responsible for revenue generation from all customers driven requests to existing infrastructure. He/ She is responsible for understanding the customers business needs and providing professional account management execution of amendments in accordance with the account plan which meets the annual amendment targets for sales revenues profitability and customer satisfaction.


The incumbent is also responsible for proactively providing reliable and accurate sales data i.e. sales information site information reports analysis and supporting documents. Ensuring that all information for sales and marketing is maintained in accordance with the defined standards policies and procedures.


ESSENTIAL DUTIES:

1. Sales Coordinator

Manage all amendments including all height consolidations (consolidation heights)- Impact of the contract work with projects to establish requirements & timelines share with customer cost implications & timelines.

Customer Site lease agreement management including follow up for full approval and submission to finance for billing commencement.

Proactively resolve all issues and disputes internally and externally to drive completion of customer amendments.

Consistently achieve quarterly and annual sales objectives through securing signed tenant licenses and additional business amendments.

Ensure accurate and timely billing of all new and additional business through proper billing reconciliation for existing or amendments (Low Opex Billing) Site ID reconciliations.

Proactively manage all customer equipment to ensure all equipment on site is billed according to the Master Site Agreement.

Ensure all commercial amendment proposals are followed up tracked and timely shared with the customer to closure.

Coordinate activities with relevant stakeholders and departments to ensure:

o Timely accurate and prompt data entry and updating of collocation applications and leases into relevant company systems

o Organizing and filing hard copy and soft copy files in archives and supportive IT repositories

Take operational management of the order fulfillment process ensuring tasks are carried per the companys KPIs

o Effective work in a cross functional environment with the aim of driving efficiencies and effectiveness

Provide administrative support for the Sales team; through:

o Creation of projects in the collocation workflow system and any other tasks as may be assigned.

o Drafting and preparation of tenant contracts to support collocation process

o Data analysis using websites Excel data market intelligence etc.

o Recording distribution and effective storage of inbound and outbound customer formal communications

Prepare operational reports

o Collate and submit weekly sales progress and status and ad-hoc reports

o Collate and submit monthly sales reports

o Collate and publish the months forecast and budget reports

Manage sales office logistics marketing supplies arranging sales meetings and customer workshops:

o Prepare submit and monitor purchase requisitions for the Sales and Marketing department

Coordinate the Marketing function

o Developing annual marketing budget

o Manage selection ordering and distribution of sales collateral

o Champion customer and stakeholder engagement events

Undertake special projects assignments and any other job related duties that may be assigned

o Manage the companys customer site list

o Establish and maintain an active customer contact database

o Organize and coordinate events on behalf of the Sales & Marketing team with internal team or external customers.


1. Revenue Assurance

































Responsible for planning Revenue Assurance scope for each financial year










Produce blueprints for identifying out of scope installations through analysis of customer

and technology provisions in the respective customer contracts



Coordinates Customer equipment audits with Maintenance teams and contractors









Analyses physical audit information and customer space entitlements to determine resultant

financial implications






Ensures that the Finance team completes the tenant lease agreement billing in Oracle.









Produces monthly reports on status of revenue assurance initiatives

Monthly Biling Audit (Power and Customer Bills) to ensure no revenue leakages to the company and the customer

Monthly share reports on customer and revenue assurance

Work with the Tower Maintenance team to ensure accuracy of information captured and audit the accuracy of the information shared by the maintenance teams in the field.











Ensures that the Finance team completes the tenant lease agreement billing in Oracle.









Initiates processes that ensure customer equipment accuracy and reduce incidents of unbilled equipment

Requirements

QUALIFICATIONS

Ability to communicate effectively at all levels of influence

Good interpersonal skills

Strong planning and organizing skills

Ability to prioritize quickly in a fast paced environment

Ability to listen and articulate issues clearly in order to understand detailed task and requests first time

Must have strong computer skills and demonstrate the ability to manipulate data and systems using Microsoft Excel and Google Earth

Good analytical skills with an attention to detail

A team player

Reliable time keeper diligent worker and professional attitude

Self-motivated

High level of energy


EDUCATION AND EXPERIENCE

A First Degree in Engineering and Computer Science or IT qualification.

Wireless and/or telecommunications experience.

At least 3 years working experience.

Must have previous administrative support experience within multi-disciplined organization.

Experience dealing with large sets of data and Excel.



Benefits

ENVIRONMENT:

Approximately 90% performed in a climate-controlled internal office environment working under normal office conditions. Approximately 10% travel will be required in support of the positions responsibilities.

While performing the duties of this job the employee is regularly required to sit; stand; walk; use hands and finger to feel and handle; reach with arms and hands; talk and hear. While performing the duties of this job the employee is frequently required to stoop kneel and crouch; lift weight or exert a force up to a maximum of 12kgs.
