Job Description
Position Overview
- We are seeking a detail-oriented and highly organized Field Operations Administrative Assistant to support our day-to-day office functions within the funeral and cemetery services industry. The ideal candidate will be adaptable collaborative and comfortable working in a dynamic environment where priorities can shift daily.
- This role plays a key part in ordering memorial items such as headstones managing records processing payments and providing excellent service to both clients and team members.
Key Responsibilities
- Provide administrative support to ensure smooth daily operations
- Answer and direct phone calls and emails professionally
- Greet and guide clients with compassion and empathy
- Perform accurate data entry and maintain up-to-date records
- Process and manage payments and cash transactions
- Assist with scheduling calendar management and meeting coordination
- Help prepare documents reports and presentations
- Monitor and replenish office inventory and supplies
- Coordinate maintenance of office equipment
- Conduct account research to ensure burial readiness
- Collaborate with team members and support multiple departments as needed
- Adapt to new tasks and responsibilities as they arise
Work Schedule
- Monday Friday: 8:30 AM 5:00 PM (30-minute lunch)
- Saturday: 8:00 AM 4:00 PM (no lunch)
- Sunday: 10:00 AM 3:00 PM (no lunch)
- Rotating weekends required
- Open on most holidays; closed only on Thanksgiving Day Christmas Day and New Years Day
- All employees are required to work on Mothers Day
- Note: Dress code applies-no sandals allowed on-site.
Qualifications
- High school diploma or equivalent; additional administrative training is a plus
- Previous experience in an administrative or clerical role
- Proficient in Microsoft Office Suite (Word Excel Outlook)
- Strong organizational and multitasking skills
- Excellent verbal and written communication abilities
- Customer service mindset with a respectful and professional demeanor
- Ability to handle confidential and sensitive information appropriately
- Willingness to learn and assist across multiple departments
