Position Title: Payroll Specialist
Position Overview: Topeka Public Schools is seeking a detail-oriented and experienced Payroll Specialist to join our team. The Payroll Specialist will be responsible for ensuring accurate and timely processing of payroll for all employees maintaining payroll records and providing excellent customer service to employees regarding payroll inquiries.
Key Responsibilities:
1. Process payroll accurately and efficiently for all employees including teachers administrators and support staff.
2. Verify and input payroll data such as hours worked deductions and tax withholdings into the payroll system.
3. Ensure compliance with federal state and local payroll regulations and tax laws.
4. Reconcile payroll reports and resolve any discrepancies in a timely manner.
5. Maintain accurate records of employee attendance leave balances and other relevant payroll information.
6. Prepare and distribute payroll reports to appropriate departments and management.
7. Assist with payroll-related inquiries from employees providing excellent customer service and resolving issues promptly.
8. Collaborate with Human Resources department to ensure accurate employee data and seamless integration of payroll processes.
9. Stay updated on changes in payroll laws and regulations and implement necessary updates to payroll procedures.
10. Assist with year-end payroll activities including preparation and distribution of 1095- Cs and W-2s.
11. Employee benefits responsibilities such as reconciling billings for assigned benefits completing and submitting applicable benefit reports managing premium withholdings from employees and ensuring accuracy and timely payment.
Qualifications:
1. Postsecondary coursework in Accounting Finance Business Administration or related field preferred.
2. Minimum of 3 years of experience in payroll processing or related field.
3. Experience with payroll software and Microsoft Excel.
4. Understanding of payroll regulations tax laws and compliance requirements.
5. Excellent attention to detail and accuracy in data entry and record-keeping.
6. Ability to prioritize tasks and manage multiple deadlines in a fast-paced environment.
7. Strong analytical and problem-solving skills.
8. Excellent communication and interpersonal skills with the ability to interact professionally with employees at all levels.
9. High level of integrity and confidentiality regarding payroll information.
10. Certification in payroll processing (e.g. CPP) preferred but not required.
