We are seeking a Receptionist / Office Manager who will be the first point of contact for guests and staff at Tenth Church providing professional comprehensive front-of-house service while ensuring smooth daily operations of the office.

WAYS YOU WILL CONTRIBUTE:

Reception & Hospitality:
  • Warmly welcome guests and connect them with appropriate staff and resources; respond to general inquiries in person by phone or online.
  • Oversee the VOIP phone system and manage incoming calls professionally and efficiently.
  • Maintain a clean secure and inviting reception area and staff lounge.
Office Administration:
  • Oversee daily office operations ensuring shared spaces supplies and the staff kitchen are clean stocked and well-maintained.
  • Conduct regular walkthroughs to assess office cleanliness functionality and organization; collaborate with staff and custodians to resolve issues and implement improvements.
  • Monitor and manage office systems including mail shared calendars Sunday materials and administrative processes.
  • Maintain Tenths church database and track weekly site attendance and reporting.
Equipment & Technology Support:
  • Manage shared office equipment including printers copiers and label makers.
  • Assist staff with basic troubleshooting of printer issues and coordinate maintenance or service calls.
  • Provide support for the VOIP phone system and act as liaison with IT or vendors when needed.
Staff & Onboarding Support:
  • Coordinate new staff onboarding from an office admin perspective (e.g. workspace setup keys desk supplies phone extension vendor portal logins etc.).
  • Act as the point of contact for minor facilities issues during office hours (e.g. cleaning concerns furniture needs heating/cooling).
  • Liaise with custodial staff and vendors as needed for service or support.
Safety Policy and Compliance:
  • Collaborate with the Health & Safety Committee to uphold safety procedures including emergency protocols drills and incident reporting.
  • Ensure compliance with privacy regulations and manage administrative records contracts and vendor agreements in both digital and physical formats.
Financial & Vendor Administration:
  • Track and reconcile office expenses; review and approve purchases related to supplies tools and services.
  • Manage vendor relationships and ensure service agreements are current and meet performance expectations.
  • Support the Director of Operations with budget planning reporting and administrative project coordination.

Process & Project Coordination:
  • Identify and implement improvements to administrative workflows systems and office tools that enhance efficiency and communication.
  • Coordinate and support seasonal projects and ministry initiatives with strong organizational and logistical oversight.

Benevolence & Special Support:
  • Process benevolence applications and act as liaison between applicants and the Benevolence Committee.
  • Maintain discretion and confidentiality in handling sensitive information.

Other:
  • Maintain a clean welcoming and secure reception area and staff lounge.
  • Provide orientation and training to relief receptionists and volunteers on front-desk responsibilities.


WHAT YOU BRING:
  • Minimum 2 years of experience in administrative office management or receptionist roles with strong organizational and time management skills.
  • Strong verbal and written communication skills.
  • Technologically proficient with Microsoft Office Office 365 Teams and database systems (e.g. Planning Center); able to troubleshoot basic office equipment.
  • Able to work independently with sound judgment integrity and initiative across a range of responsibilities.
  • Committed to personal growth and continuous learning; open to feedback and improvement.
  • Mature Christian faith with a desire to foster spiritual growth in others and engage in mutual transformation.
  • Possesses an authentic and growing faith in Christ and spiritual maturity.
  • Compassionate teachable and aligned with Tenth Churchs Statement of Faith and employee policies; thrives in a diverse multi-site ministry environment.

This is a full-time position where you will 40 hours per week* (negotiable for 32 hours per week - Monday to Thursday) Monday to Friday 8:45am to 5:15pm.

Salary is commensurate with experience; the salary range is $51000 - $54000 per annum based on 40 hours per week.

This is an in-person position based at 11 W 10th Ave Vancouver. Remote or hybrid work is not available.
