Job Description

Main Purpose of the role
Coordination of Service Contracts and Contract Visits.

Primary Responsibilities

  • Liaise with customers regarding sales generation in terms of service contracts.
  • Provide quotes for Service Contracts and be proactive in generating sales revenue for new opportunities.
  • Upon acceptance of Contract use of ERP system to activate contract and all planned activities required for the contract.
  • Identify parts to be included in Maintenance Kits where applicable.
  • Creation of Maintenance Kits within Engineering and ERP System
  • Creation of Production Orders for Maintenance kits to ensure parts are purchased and booked into stock at least 1 month prior to planned Maintenance visit.
  • Ensure Invoicing is completed on instalment dates and provide credits where necessary.
  • Confirm planned service dates with customers for contract visits and plan engineers accordingly.
  • Ensure Maintenance Kits are in stock and sent to customer site prior to engineer arrival.
  • Engineer reports to be reviewed and quotes for parts/follow up visits to be created and issued to customers.
  • Ensure Quotes for Contract renewals are up to date and issued to the customer at least 1 month prior to contract expiring.
  • Provide quality customer service and effectively handle customer enquiries

What skills are we looking for

The successful candidate must have strong customer service skills and strong administrative skills and the ability to forward plan is essential must be proficient in using IT systems have a proven track record in customer service as is the ability to work effectively as part of a highly motivated team. The candidate should be capable of ensuring that tasks are completed correctly and efficiently meeting all deadlines and adhering to company standards. Experience in service contract coordination and ERP systems are advantageous.

The ideal candidate must have a positive can-do attitude demonstrating a willingness to take initiative and adapt to changing situations. Excellent communication and interpersonal skills are essential along with strengths in planning organizing and building effective relationships. The candidate should be results-driven with a clear focus on meeting customer expectations and delivering high-quality outcomes. The ability to make decisions and take action when needed as well as respond positively to change will be key to success in this role.
