Job Description

Reports To: Director of Career and Technical Education

Wage/Hour Status: Non-exempt

Duty Days: 238 Days

Pay Grade: AS03

Revised Date: 8/2025

Qualifications:

College hours high school diploma or GED

Successful work experience in a school and/or office setting

General office management skills

Proficient typing word processing spreadsheet database and file maintenance skills

Ability to create forms data/reports charts and graphs

Excellent organization communication and interpersonal skills

Ability to organize and self-motivate

Excellent telephone and public relations skills

Flexible in work situations

Expertise in office machines including computers

Experience with budget and general bookkeeping

Ability to work with confidential material

Primary Purpose:

Provide secretarial support and office management to the Director of Career and Technical Education

Major Duties and Responsibilities:

  1. Manage the operations of the Director of Career and Technical Educations office.
  2. Prepare correspondence reports agendas memos presentations etc.
  3. Compose correspondence and edit
  4. Answer and respond to daily telephone communications.
  5. Coordinate communications with department personnel.
  6. Greet and assist visitors and district personnel.
  7. Maintain appointment calendar.
  8. Arrange for conferences and interviews.
  9. Maintain knowledge and involvement with the department budgets.
  10. Create and process budget requests.
  11. Screen mileage for Instructional Officers.
  12. Process conference registrations flights employee expenses etc.
  13. Assist in preparation of publications.
  14. Maintain filing system including federal state and local documents.
  15. Attend meetings related to in-service for secretaries budget and appropriate procedural matters.
  16. Assist in preparing State and Federal reports.
  17. Create and maintain training sessions rosters reserve training rooms copy materials secure room set-up and technology needs.
  18. Other duties as assigned.

Equipment Used:

Personal computer printer copier scanner calculator and projector

Working Conditions:

Maintain emotional control under stress; work with frequent interruptions; repetitive hand motions; moderate lifting and carrying.
